Ensure that preparations are made before service for special occasions and control the preparations.<br>
Maintain departmental equipment.<br>
Control employee compliance with the work schedule.<br>
Identify the daily beverage consumption demands.<br>
Regularly control the backup beverage storage, identify par stock levels and monitor that stock is always available according to the par stock levels.<br>
Organise the process of greeting customers, seating them at their table and seeing them out.<br>
Responsible for developing the training programmes and for the training of employees in his or her department.<br>

<h4>Job description</h4>
<p>Manage the General Manager’s calendar, appointments, meetings and priorities.</p>
<p>Coordinate business travel, accommodation, transportation and detailed itineraries.</p>
<p>Screen and prioritise incoming calls, emails, correspondence and meeting requests with sound judgement and discretion.</p>
<p>Prepare professional correspondence, reports, presentations, meeting agendas and minutes.</p>
<p>Coordinate communication between the General Manager, department heads, owners, corporate and regional offices, and external stakeholders.</p>
<p>Act as the primary point of contact for the Executive Office and represent it professionally.</p>
<p>Track decisions, assignments and deadlines, following up with responsible leaders to ensure timely completion.</p>
<p>Anticipate the General Manager’s requirements and proactively address administrative and operational needs.</p>
<p>Coordinate VIP arrivals, official visits, executive meetings, hotel events and leadership activities.</p>
<p>Maintain confidential records, contracts, correspondence and other sensitive business documents.</p>
<p>Prepare and reconcile expense reports and support other Executive Office administrative requirements.</p>
<p>Maintain organised and up-to-date physical and electronic filing systems.</p>
<p>Support the preparation of management reports, business reviews and operational presentations.</p>
<p>Coordinate team events, off-site meetings, celebrations and special projects.</p>
<p>Build effective relationships across departments and promote seamless cooperation throughout the hotel.</p>
<h4>Qualifications</h4>
<p>Bachelor’s degree in Business Administration, Hospitality Management, Languages or a related field.</p>
<p>Minimum of 2–3 years of experience as an Executive Assistant, Personal Assistant or Executive Secretary, preferably within a five-star hotel or international organisation.</p>
<p>Previous experience supporting a General Manager or senior executive is preferred.</p>
<p>Excellent command of written and spoken English and Arabic.</p>
<p>Strong proficiency in Microsoft Office, particularly Outlook, Word, Excel, PowerPoint and Teams.</p>
<p>Excellent organisational, communication and time-management skills.</p>
<p>Strong ability to prepare professional correspondence, reports, presentations and meeting minutes.</p>
<p>High level of confidentiality, integrity and professional discretion.</p>
<p>Proactive, detail-oriented and capable of managing multiple priorities in a fast-paced environment.</p>
<p>Professional appearance, positive attitude and strong interpersonal skills.</p>
