Job Purpose The Luxury Purchasing &amp; Operations Executive is responsible for attracting and managing clients wishing to sell luxury items, conducting preliminary item inspections, negotiating proposed purchase prices and coordinating approved purchases. The role also includes maintaining accurate records, safeguarding purchased items, managing inventory and shipments, supporting social media activities and achieving assigned targets and KPIs. CRM and Administration • Accurately record leads, enquiries, appointments, offers, purchases and follow-up activities in the company's CRM system. • Maintain complete and organised electronic and physical records. • Prepare purchase documents, reports, spreadsheets and correspondence when required. • Protect confidential client, transaction and company information. Vault and Inventory Management • Tag, register and securely store purchased items in the designated vault or secure storage area. • Maintain an accurate inventory register and record all item movements. • Conduct regular physical stock counts and reconcile them with company records. • Immediately report any missing item, damage, discrepancy or unauthorised movement. • Handle all items carefully and maintain their security and condition. Shipment Coordination • Inspect, securely pack and prepare approved items for shipment. • Prepare packing lists, inventory details and other required shipment documentation. • Coordinate with shipping companies and relevant government entities and authorities. • Track shipments and maintain records until delivery is confirmed. Social Media Support • Manage routine social media activities and publish management-approved content. • Prepare basic photographs, videos and social media content using suitable editing and AI tools. • Respond professionally to messages, comments and enquiries. • Convert social media enquiries into qualified leads and appointments. • Monitor relevant brands, competitors, fashion trends and social media developments. • Obtain management approval for paid advertising and major campaigns. Targets and Reporting • Achieve assigned targets for lead generation, appointments, client acquisition and completed purchases. • Meet KPIs relating to conversion, client service, record accuracy, inventory control, shipment readiness and reporting. • Submit accurate reports as required by management. • Promptly report operational problems, suspicious items, client complaints or inventory discrepancies. • Perform other related duties assigned by management.
