Review all payroll outputs monthly to ensure accuracy and completeness using checklists; prepare payroll calculations for large headcount clients for Leader’s review. Follow up on salary cost transfer from clients with finance team to ensure funds are received on time; any changes in outputs communicated by clients need to be applied on software; make sure social insurance formula is updated for all clients once communicated, whenever changed by authorities; ensure bank account details for each payslip processed is accurate. Responsible to reconcile social insurance actual versus system balances report differences to Team Leader; social insurance cases, online registration/de-registration, preparation of Form 2s. Update contact clients on the spot whenever new update is required; or delete when a client leaves. Communicate with guests/customers to resolve maintenance issues. Perform preventive maintenance on tools and kitchen and mechanical room equipment, including cleaning and lubrication. Visually inspect tools, equipment, or machines. Carry equipment (e.g., tools, radio). Identify, locate, and operate all shut-off valves for equipment and all utility shut-offs for buildings. Maintain maintenance inventory and requisition parts and supplies as needed. Communicate each day s activities and problems that occur to the other shifts using approved communication programs and standards. Display basic knowledge or ability to acquire knowledge in the following categories: air conditioning and refrigeration, electrical, mechanical, plumbing, pneumatic/electronic systems and controls, carpentry and finish skills, kitchen equipment, vehicles, energy conservation, and/or general building. Draft project standard templates for purchasing and subcontracting in compliance with the flow down strategy extracted from the main contract and close gaps of the company’s obligations/liabilities exposure. Coordinate the drafted standard templates with the Legal team, review and amend as needed until the approval and issuance. Prepare and distribute orientation guidelines for the project teams on the Issued templates and the usage of each. Receive regular feedback on the Issued forms from project teams and Internal functions and issue updates Incorporating lesson learned and corrections, If any, throughout the project life. Participate/advise in the preparation of the project subcontracting plan. Receive and review requests from projects teams for the Issuance of project related subcontracts. Initiate the cycle of RFQs compiling, per package, in accordance with the subcontracting plan and the received requests, for purpose of Issuing it to potential subcontractors. Receive RFQ documents from project teams, review and ensure consistency with the contract conditions and call for workshops to resolve ambiguities and ensure alignment. Incorporate final documents and issue the RFQ to the Procurement team to be shared with potential subcontractors. Study, in collaboration with the Legal team, potential subcontractor's legal registration documents against main contract requirements and applicable laws and qualify/disqualify potential subcontractors accordingly. Receive and reply on subcontractor's contractual/legal clarifications and deviations on the RFQ. Issue addendums to the RFQ incorporating changes, advanced information and incorporating resolutions from the clarifications/deviations stage. Conduct/attend negotiation meetings with short listed subcontractors to resolve deviations. Report deadlocks, if any, to the project manager for final resolution. Incorporate all changes and deviations and issue the subcontract for signature. Receive signed subcontracts, review hard copies, ensure proper filing and distribution of the signed subcontract to project concerned teams.
