Job Purpose To coordinate the commercial aspects of the prime contract on a company project including invoicing, identification of variation order and claims initiation. Tasks, Roles & Responsibilities Support Construction team on site on daily duties and tasks. Explain to the project’s key personnel the importance of the contract clauses, payments and change processes. Review the contract conditions carefully and thoroughly. Ensure all notices are issued to the client within the time frame set forth in the contract. Draft all letters’ responses concerning any contractual issues such as claims, disputes, back charges, completion certificates, insurance and contract amendments, after Project Manager approval. Ensure the site document control is keeping adequate files and logs of all issued and receipt letters, and report any record keeping problems to the Project Manager. Ensure that project records and reports are timely prepared and submitted in the manner necessary to protect Company’s interests and to support any future claims. Report to the Project Manager any deviation from the contract requirements. Ensure any verbal instructions/directions are timely documented. Ensure variations’ procedure is applied at the project in accordance with the contract and that no variations are being carried out without proper documentation issued by the Client authorized person. Maintain logs for claim notices, claims back charges and insurance as required by the Contracts Manager. Document and record all events or cases that could give rise to a claim. Attend all progress meetings, ensuring that no positions or statements, contradicting with the contract conditions, are imposed on the Company. Review issues minutes of meeting to ensure they accurately reflect the statements and positions discussed during the meeting. Follow up on work progress and payment progress, identify areas of concerns in terms of late payments, delays and recommend actions to the project management.
