Job Purpose<br><br>To prepare, coordinate, and maintain maintenance schedules, workforce deployment, resource allocation, and work management activities to support the safe, efficient, and cost-effective delivery of maintenance operations. The role ensures effective scheduling, rostering, material planning, work order management, and performance reporting while supporting operational continuity and compliance with regulatory and company requirements. Maintain accurate and auditable records of roster changes, approvals, and schedule updates.<br><br>Resource Planning & Optimization<br><br> Monitor workforce utilization and identify capacity constraints, resource gaps, and operational inefficiencies. Analyze workforce utilization trends and support the development of recommendations to optimize resource deployment and operational efficiency. Support budget monitoring activities by providing workforce planning, scheduling, and resource utilization reports. Contribute to cost optimization initiatives through effective workforce planning and resource allocation.<br><br>Material Planning & Coordination<br><br> Monitor material requirements based on maintenance schedules, projects, and operational activities. Coordinate with Procurement and Stores teams to ensure timely availability of spare parts, consumables, and maintenance materials. Align material availability with maintenance plans to minimize operational delays. Monitor material consumption against planned usage and report shortages, variances, or inefficiencies.<br><br>Overtime Monitoring & Workforce Analysis<br><br> Monitor overtime utilization across departments and identify trends and improvement opportunities. Prepare periodic reports highlighting overtime drivers, operational impacts, and cost implications. Support departments by providing workforce planning analysis and overtime-related data. Incorporate overtime performance into operational dashboards and management reports.<br><br>Data Analysis & Dashboard Management<br><br> Maintain and update operational dashboards providing visibility of scheduling performance, workforce utilization, overtime, material availability, and operational costs. Ensure reporting dashboards are accurate, user-friendly, and aligned with management reporting requirements. Coordinate with IT and relevant stakeholders to integrate scheduling and reporting systems with CMMS platforms and other business applications. Analyze operational data and generate reports to support informed decision-making.<br><br>Work Order Management<br><br> Support the timely and accurate closure of work orders within IBM Maximo by ensuring complete maintenance documentation. Coordinate with maintenance teams to verify labor hours, material usage, and completion records. Monitor outstanding work orders and escalate overdue activities where necessary. Ensure compliance with CMMS documentation standards, audit requirements, and reporting procedures. Support maintenance teams in following standardized work order documentation practices.<br><br>Project Planning & Coordination<br><br> Monitor project schedules, milestones, resource allocation, and material requirements. Track project resource utilization and budget performance throughout execution. Prepare project progress reports highlighting risks, delays, resource constraints, and corrective actions.<br><br>Cross-Functional Coordination<br><br> Collaborate with Operations, Engineering, HR, Procurement, Finance, Safety, and Logistics teams to ensure alignment of planning and scheduling activities. Coordinate workforce and resource planning to support maintenance, operational priorities, and special projects. Support planning for major maintenance activities, public holidays, shutdowns, and special operational events. Prepare planning reports and resource analyses to support management decision-making.<br><br>Continuous Improvement & Compliance<br><br> Monitor and report KPIs related to scheduling efficiency, workforce utilization, overtime management, material planning, and work order performance. Support the implementation of digital tools and system enhancements to improve planning efficiency. Good understanding of maintenance planning, scheduling, resource management, and workforce coordination principles. Strong knowledge of work order management processes. Experience in KPI monitoring, performance measurement, and operational reporting. Strong analytical and data interpretation skills. Advanced proficiency in Microsoft Office applications, particularly Excel. Good understanding of workforce planning, rostering, and overtime management. Experience within a railway, transportation, industrial, or asset-intensive maintenance environment is preferred. Experience using IBM Maximo or similar CMMS platforms is preferred. Job Title: Facility & Administration Coordinator Reports To: BUD - Egypt Business Unit: ACCBC - Egypt Function: Facilities & General Administration Location: (6th October Plant & New Cairo Office), Egypt Grade: TBC <br>Job Purpose To provide structured administrative support to management - covering appointments, travel, presentations, and correspondence - together with invoice, courier, and pantry administration, while directly managing facilities operations including employee transportation, meal allowances, general facility upkeep not covered by the Maintenance team, and outsourced facility-service vendors. The role works alongside the Maintenance, Procurement, and HSE teams to ensure smooth office and plant operations and satisfactory service delivery across all assigned locations.<br>Operating Context The role operates across office and plant locations within ACCBC's Egypt facility at 6th of October City - a regulated, cost-disciplined, multi-department manufacturing and commercial environment requiring high coordination discipline across administration, facilities, and cross-functional support. The role covers a dual scope - general administration and facilities management - working alongside dedicated Maintenance, Procurement, and HSE functions, with clear hand-off protocols to each specialist function on technical, sourcing, and compliance matters.<br>Key Roles and Responsibilities Section I - Administration A. Management & Executive Administrative Support Support management with scheduling and coordination of appointments and meetings, arrange and coordinate travel logistics for management and employees (flights, hotels, visas, ground transportation), and prepare presentations, reports, and correspondence as required. Manage incoming and outgoing correspondence ensuring timely responses and follow-up, record and distribute minutes of meetings, and organise and coordinate workplace events and logistics - partnering with HR where relevant for engagement events, Ramadan Iftar, and similar activities. B. Invoice, Documentation & Courier Administration Process and follow up invoice requests related to facilities, in-plant services, and DHL/courier charges - matching invoices to purchase orders or requests and routing for approval in a timely manner, while maintaining organised records of all administrative and facilities-related invoices and documentation. Coordinate DHL/courier shipments including dispatch, tracking, and documentation for office and plant - and track and follow up on payment status with Finance to ensure timely settlement. C. Pantry & Office Supplies Manage pantry requests and replenishment across office and plant locations, coordinate office supplies and consumables, track usage, and minimise excess. Raise purchase and replenishment requests to Procurement and follow up on delivery to ensure timely availability of pantry items and office supplies across all locations.<br>Section II - Facilities D. Facilities & Maintenance Coordination Directly manage all facility items and general maintenance not covered by the dedicated Maintenance team - including office and washroom cleaning, minor fixes, fixtures, and general upkeep - and coordinate with the Maintenance team on technical and engineering maintenance needs, logging, following up, and escalating repair requests as required. Coordinate with the Procurement team on facility-related purchase and vendor-sourcing requests - and coordinate with the HSE team on day-to-day safety observations, walkthroughs, and hazard reporting, escalating findings to the relevant function for action. Conduct regular checks on facility services to ensure quality and compliance with standards, escalating gaps as needed - and maintain office and facility standards to ensure an orderly, professional, and audit-ready environment at all times. E. Meals, Meal Allowances & Future Catering Planning Process and submit employee meal-allowance requests and payments to Finance accurately and on time - and support planning for a future on-site cafeteria and catering service, including needs assessment, vendor and cost benchmarking, and rollout coordination once approved. Once catering is introduced: manage cafeteria operations and daily consumption covering usage, stock, and wastage; coordinate daily staff meal orders and the hot-meal and catering programme; and liaise with catering vendors on menu planning, quality, hygiene, and cost control. F. Employee Transportation & Vendor Management Manage employee transportation services including bus routes, schedules, and contracts across locations - following up transportation contracts, renewals, invoices, and payments, and managing day-to-day vendor relationships for outsourced facility-service providers (cleaning, transportation, and catering once introduced). Conduct periodic employee satisfaction surveys on facility services (transportation, cleaning, meals and catering) and use feedback to drive service improvements - and coordinate and support office and site workers including office assistants, tea staff, cleaners, and drivers, covering daily task follow-up and monthly recaps. G. Leadership & Visitor Facilities Support Prepare and set up meeting rooms and boardrooms for leadership meetings - ensuring readiness for seating, AV/IT, and refreshments - and coordinate facility readiness for leadership and VIP/visitor site visits covering access, parking, hosting, and catering arrangements. <h4>What this job involves</h4>
<p>We are looking for a Facilities Manager for our Integrated Facility Management business line.</p>
<p>The Facilities Manager (FM) is responsible for managing all aspects of facilities service as detailed in the scope of works section of the contract and will report to the Senior Facilities Manager or Regional FM. In this capacity, the jobholder will be the person responsible for the service delivery at specified locations, which will be measured by contractual KPIs or SLAs. The role will have functional accountability for an assigned sector of the Client Sites and the jobholder is responsible for all aspects of client and tenant satisfaction.</p>
<p>The FM is responsible for working directly with the local client to ensure a thorough understanding of their objectives and the implementation of acceptable property-specific operating strategies that achieve these required standards. Once developed the FM must oversee the implementation of all approved initiatives and programs, by managing and coordinating the efforts of the FM team (e.g. direct reports, service providers, contractors, and building employees) to achieve the goals. The FM is responsible for representing Jones Lang LaSalle in the local and regional business and real estate community in order to promote Jones Lang LaSalle’s reputation and capabilities to prospective tenants and clients.</p>

Communication with site leadership team (Country Manager, HR, Finance, Legal, IT etc.)<br>

Processing and controlling of invoices and work orders, opening and monitoring budgets in the financial system, preparing and updating forecasts.<br>
Oversee and follow up on all technical maintenance for installations (AC/heating/fire extinguishing system, electrical installations etc.).<br>
Negotiate, renegotiate and maintain contracts with vendors.<br>
Planning and budgeting of internal fit-out works and technical installations.<br>
Purchasing of furniture, organization of internal departmental office/space moves.<br>
Manage a team of receptionists and an Office Services Coordinator/Building Operations Coordinator, including allocating resources, delegating workload, ensuring adherence to best practices etc. (roles not present on every site).<br>
General administration of department (holidays, training, performance reviews etc.).<br>
Updating and maintaining official safety documents, liaising with government authorities.<br>

Result of Service<br>Optimizing multi-hazard early warning (MHEW) capabilities, ensuring that Djibouti Government can effectively leverage climate and risk data to protect communities and mitigate disaster impacts.<br> Work Location<br>Home Based<br> Expected duration<br>1Oct2026 - 31Mar2027<br> Duties and Responsibilities<br>Established in December 1999, the United Nations Office for Disaster Risk Reduction (UNDRR) is the designated focal point in the United Nations system for the coordination of efforts to reduce disasters and to ensure synergies among the disaster reduction activities of the United Nations and regional organizations and activities in both developed and less developed countries. Led by the United Nations Special Representative of the Secretary-General for Disaster Risk Reduction (SRSG), UNDRR has over than 160 staff located in its headquarters in Geneva, Switzerland, and in regional offices. Specifically, UNDRR guides, monitors, analyses and reports on progress in the implementation of the Sendai Framework for Disaster Risk Reduction 2015-2030, supports regional and national implementation of the Framework and catalyzes action and increases global awareness to reduce disaster risk working with UN Member States and a broad range of partners and stakeholders, including civil society, the private sector, parliamentarians and the science and technology community. In the context of the UN Secretary-Generals initiative on Early Warnings for All (EW4All), the CREWS endorsed a project to strengthen the capacity of Djiboutian authorities to produce, deliver, and disseminate Multi-hazards Early Warning Systems. This project is implemented by the CREWS implementing partners World Meteorological Organization (WMO) and UNDRR in collaboration with the Djibouti National Meteorological Agency (ANM), Djibouti Center for Scientific Studies and Research (CERD) and the Executive Secretariat for Risk and Disaster Management (SEGRC). The project was launched in 2024 and has significantly strengthened disaster risk knowledge among national and sub national authorities. It already enhanced skills in applying risk data for multi hazard early warning systems (MHEWS), improved national capacities to identify gaps in managing hazard, exposure, vulnerability, and impact data, and reinforced coordination mechanisms. The planned consultancy will support the coordination and implementation of UNDRR’s CREWS project activities ensuring alignment between other disaster risk reduction and early warning activities and will in addition reinforce the capacity of the national early warning systems initiative. Duties and Responsibilities This national consultancy will be home-based and will work in close collaboration with the office of the Sendai Framework focal point for Djibouti, the Executive Secretariat of Disaster Risk Management (SEGRC), under the supervision of the Chief of UNDRR’s Regional Office for the Arab States (ROAS). The national consultant will support the implementation, monitoring and evaluation of the CREWS Djibouti project, ensuring alignment with ongoing and planned disaster risk reduction and early warning activities in Djibouti. - Coordinates CREWS Djibouti project activities in close collaboration with UNDRR ROAS, SEGRC, and other relevant government and non-governmental partners, as well as the Resident Coordinator’s Office, the United Nations Country Team and Resident Coordinator Office in Djibouti. - Support the national coordination mechanism for EW4All in Djibouti which is led by SEGRC. - Provides substantive support for disaster risk reduction policy coordination, including the review and analysis of emerging development issues and trends in Djibouti. - Assists in organizing and facilitating workshops, trainings and meetings in Djibouti, in collaboration with the UNDRR ROAS, SEGRC and other implementing partners. - Organizes regular coordination and monitoring meetings at technical involving relevant partners as well as CREWS project Steering Committee meetings to ensure an efficient implementation of the project and alignment with other disaster risk reduction and early warning activities. - In close coordination with UNDP, supports data and risk analysis activities and assists implementing partners to establish the situation room by coordinating a knowledge exchange between ICPAC and SEGRC. - Supports the organization of a SIMEX exercise involving all relevant partners in Djibouti to text the operation of the national and subregional simulation rooms. - Contributes to the preparation of various written outputs, e.g. project narrative reports, draft background papers, concept notes and agendas, analytical notes, sections of reports and studies, inputs to publications for CREWS Djibouti project. - Coordinates and provides operational and substantive support to consultative and other meetings, conferences and related events, including proposing agenda topics, identifying and proposing participants, preparing background documents and presentations, handling logistical arrangements, and supporting follow-up actions, as required. - Supports the consultant that will develop the Terms of Reference of the National DRR platform by providing relevant inputs and engaging relevant counterparts. - Assist in preparing a disaster risk reduction impact story for Djibouti for national, regional and global dissemination. The following deliverables are expected from the assignment: 1. Inception and monthly progress reports on achievements and challenges using the format shared by UNDRR. It is expected that the progress reports include evidence for example, list of participation of events, consultations, simulation exercise, impact story to demonstrate that relevant partners engaged and other project related activities, and list of written inputs provided and contributions drafted to reports. 2. At least three (additional two) national workshops organized, including on (1) launching the early warning mechanism, (2) reviewing the gender-responsive and disability inclusive DRR guidance, (3) the validation of the multi-dimensional risk analysis, (4) the project validation workshop and well as the (5) consultation of the Terms of Reference of the National DRR Platform. 3. Technical coordination meetings organized on a monthly basis and Steering Committee meetings twice a year. The deliverables should be presented so that they are understandable, useful and relevant for the above-listed audiences.<br> Qualifications/special skills<br>• Advanced university degree (Master's degree or equivalent) in information systems, information technologies, computer science, disaster and emergency management, or related area is required is required. • A first-level university degree in combination with two additional years of qualifying experience may be accepted in lieu of the advanced university degree. • A minimum of five (5) years of progressively responsible experience in disaster risk reduction, early warning systems and working with multiple partners and stakeholders is required; • A minimum of three (3) years of experience in project coordination, conducting consultation processes and organization of events is required; Confirmed expertise in risk and disaster management is required, with significant national-level experience; • Experience in managing disaster risk data sets and understanding of risk analysis is desired; • Experience in Microsoft Office Applications is required.<br> Languages<br>• English and French are the working languages of the United Nations Secretariat. For this job opening, Fluency in spoken and written English and French is required. Knowledge of Arabic is desired.
