Job Description : We are looking for a highly organized, proactive, and business-minded Business Operations Specialist to oversee and coordinate the day-to-day operational performance of our clinics while supporting the planning and execution of various in-house business projects.<br><br>The role will work closely with management and cross-functional teams to ensure smooth operations, identify operational gaps, improve processes, monitor performance, and drive projects from planning through execution.<br><br>Key Responsibilities<br><br> Clinic Operations Monitor the daily operational performance of clinics and ensure smooth workflow across all departments. Performance & KPI Management Track operational KPIs and ensure that targets are clearly communicated and followed up. Analyze performance data and identify areas requiring improvement. Work with department heads to develop corrective action plans. Follow up on action plans and ensure deadlines are met. Monitor productivity, service quality, customer experience, and operational efficiency. Support management in setting and reviewing operational KPIs. Process Improvement Review existing operational processes and identify inefficiencies, bottlenecks, and unnecessary steps. Develop and implement improved workflows and procedures. Create and maintain SOPs, checklists, workflows, and operational guidelines. Ensure processes are standardized across clinics and projects where applicable. Continuously identify opportunities to reduce operational costs, improve productivity, and enhance client experience. In-House Projects Take ownership of assigned internal projects from planning to implementation. Develop project timelines, action plans, responsibilities, and deliverables. Coordinate with different departments and stakeholders to ensure project execution. Follow up on project milestones, deadlines, dependencies, and pending actions. Identify risks, delays, and operational obstacles and proactively address them. Prepare project updates and progress reports for management. Ensure that projects are implemented according to agreed objectives, timelines, and budgets. Support the launch of new services, branches, systems, partnerships, campaigns, and other internal initiatives. Cross-Functional Coordination Act as a central point of coordination between management and operational teams. Ensure clear communication and follow-up between departments. Attend relevant operational and project meetings and document action points. Follow up with responsible stakeholders until assigned actions are completed. Escalate critical operational issues to management with proposed solutions whenever possible. Data & Reporting Collect and analyze operational data from different departments. Prepare weekly and monthly operational reports. Track KPIs, project progress, operational gaps, and improvement initiatives. Translate operational data into actionable insights and recommendations. Maintain accurate operational dashboards and trackers. Quality & Compliance Ensure compliance with approved internal policies, SOPs, and operational standards. Coordinate with the Quality and HR teams regarding operational violations or recurring performance issues. Identify operational risks and recommend preventive measures. Support internal audits and operational reviews when required.<br><br>Requirements<br><br>Bachelor’s degree in Business Administration or medical faculties. 2–5 years of experience in Operations, Business Operations, Project Management, or a similar role. Experience in healthcare, clinics, medical centers, hospitality, customer service, or service-based businesses is preferred. Strong organizational and project management skills. Excellent communication and stakeholder-management skills. Strong analytical and problem-solving abilities. Very good knowledge of Microsoft Excel / Google Sheets and reporting tools. Ability to manage multiple projects and priorities simultaneously. Strong follow-up and execution skills. Ability to work independently and take ownership of responsibilities.
