Job Purpose:The CEO Personal Assistant is responsible for managing and coordinating the day-to-day operations of the CEO, including administrative support, communication flow, and organizational activities. The role ensures the efficient execution of the CEO’s agenda, priorities, and directives while maintaining smooth operations and effective coordination across departments. This position enables the CEO to focus on strategic leadership and key business objectives by ensuring operational efficiency, timely follow-ups, and seamless executive support.
Duties & Responsibilities:• Managing the CEO’s calendar, meetings, and invitations to ensure optimal time management and smooth daily operations.• Preparing meeting agendas, documents, and follow-ups to guarantee well-structured discussions and clear outcomes.• Screening and prioritizing calls, emails, and correspondence to ensure the CEO focuses on high-impact matters.• Assessing invitations and external engagements to help prioritize strategic opportunities that enhance the CEO’s influence.• Coordinating communication between the CEO and internal/external stakeholders to maintain alignment and effective information flow.• Anticipating the CEO’s needs and potential challenges to prevent issues and enable proactive decision-making.• Tracking key initiatives, deadlines, and performance indicators to support strategic execution and accountability.• Ensuring timely follow-up on action items and decisions to drive progress and maintain momentum across projects.• Identifying workflow improvements and process gaps to enhance efficiency and reduce operational bottlenecks.• Conducting research and preparing reports and presentations to provide accurate data and insights for informed decisions.• Maintaining organized records and confidential files to safeguard sensitive information and support quick access when needed.• Liaising with internal departments to ensure smooth workflow, effective communication, and alignment with organizational objectives. • Handling travel arrangements, accommodation, and logistics to support efficient business travel and optimize the CEO’s productivity. • Problem-solving independently under pressure to minimize disruption and maintain productivity.• Collaborating with internal teams and departments to coordinate priorities and support cross-functional alignment.• Demonstrating loyalty, discretion, and professionalism to reinforce trust and contribute to the CEO’s success and reputation.• Preparing executive summaries, dashboards, and reports to support strategic reviews and executive decision-making. • Supporting event coordination, executive summits, and corporate engagements to ensure professional representation and successful execution of company events. • Representing the CEO professionally in meetings and events to uphold the company’s image and strengthen relationships.• Bachelor’s degree in business administration, Management, or a related field.• Professional certification in executive assistance, office management, or business communication is an advantage. Job Specifications:• 5–7 years of proven experience in supporting C-level executives or senior management.• Proven ability to manage complex schedules, high-volume communication, and confidential information.• Experience in business coordination, meeting management, and cross-departmental communication.• Proven experience managing executive offices, board relations, and high-level stakeholders.• Strong background in business operations, investment oversight, or private office management is highly desirable.• Exceptional organizational and time management also Problem-Solving skills.• Excellent verbal and written communication in both English & Arabic Languages, with the ability to draft high-quality reports, memos, and presentations.• Handles confidential matters with the highest level of trust and integrity.• Anticipates the CEO’s needs and acts before being asked as proactively person.• Communication Excellence: Articulates ideas clearly and professionally across all levels.• Attention to Detail: Ensures accuracy and precision in every task.• Emotional Intelligence skills: Understands people and situations, responding with empathy and composure.• Thrives in dynamic environments and handles pressure calmly.• Commitment and Loyalty: Demonstrates dedication to the CEO’s success and organizational goals.
