Role Description

This is a full-time, on-site role for a Virtual Front Operation Supervisor located in Qesm El Maadi. The Virtual Front Operation Supervisor will oversee the daily operations of the front office, ensuring smooth workflows and efficient processes. Responsibilities include supervising front office staff, managing operations, analyzing workflows for improvements, and ensuring effective communication within the team and with patients. The role requires a focus on optimizing front office functions to enhance patient services and support organizational goals.


Duties & Responsibilities:



1. Remote Field Supervision & Performance Management:
● Provide continuous remote supervision of clinic operations via live surveillance feeds from
opening to closing, ensuring compliance with all operational and safety protocols.


● Analyze and interpret daily performance dashboards and metric reports to drive performance
improvements and maintain quality standards.
● Identify operational, quality, or compliance issues in real-time and escalate immediately to
the relevant U. S.-based departments (Clinical, Security, Facilities).
● Document all observations and interventions in a detailed activity log for accountability and
trend analysis.
2. Strategic Support for U. S. Field Operations:
● Partner closely with U. S. Field Operation Supervisors by providing data-driven insights and
actionable intelligence to inform and prioritize their physical site visits.
● Conduct pre-visit briefs and post-visit debriefs using remote observations to maximize the
effectiveness of on-site time.
● Follow up on all identified issues to ensure resolution and verify the effectiveness of
corrective actions.
3. Vendor & Logistics Management:
● Proactively identify maintenance, supply, and logistical needs through remote monitoring.
● Source, vet, and negotiate with vendors, technicians, and service companies (primarily in New
York) for maintenance and repair work.
● Manage the end-to-end process of vendor coordination, from initial call and price negotiation
to scheduling and work verification.
● Act as the primary remote coordinator for vendor activities, ensuring minimal disruption to
clinic operations.
4. Communication & Reporting:
● Maintain constant, fluent, and professional communication with the U. S. operations and
clinical teams through various channels (e.g., Zoom, MS Teams, email).
● Provide concise and accurate daily summary reports on clinic performance, incident reports,
and vendor management activities


Qualification and Skills Required:



● Proven experience in operations supervision, remote monitoring, or a similar role requiring


high accountability.
● Exceptional attention to detail and a commitment to precision in monitoring and reporting.
● Strong analytical and problem-solving skills with the ability to interpret data trends and make
quick, effective decisions.
● Fluent in English with excellent verbal and written communication skills is mandatory for
effective collaboration with the U. S. team.
● High degree of technological proficiency and ability to navigate multiple software systems
simultaneously (video surveillance, data reporting, communication apps).
● Proactive, self-motivated, and able to work autonomously within a structured framework.
● Strong negotiation and vendor management skills.
