Job Summary:
The Executive Assistant provides high-level administrative support to executive leadership, facilitating smooth daily operations and helping to manage executive schedules, correspondence, and communications.
Key Responsibilities:
-Manage and coordinate the executive’s calendar, including scheduling meetings, appointments, and travel arrangements.
-Serve as a backup for front-desk reception duties and other administrative tasks when needed.
-Organize and prioritize meetings, ensuring executives are well-prepared and informed in advance.
-Handle any rescheduling and promptly communicate changes to all relevant parties.
-Act as the point of contact for internal and external communications, handling emails, calls, and written correspondence.
-Draft, edit, and proofread documents, presentations, and reports on behalf of the executive.
-Screen inquiries and requests, redirecting them as appropriate to ensure timely responses.
-Plan, organize, and coordinate meetings, conferences, and company events, including logistical arrangements and preparing materials.
-Attend meetings as needed to take notes, track action items, and follow up on key deliverables.
-Handle catering, equipment setup, and other details for in-person meetings.
-Arrange complex travel itineraries, accommodations, and transportation for executives, ensuring efficiency and cost-effectiveness.
-Prepare and process expense reports accurately and in a timely manner.
-Maintain organized records and documentation for ongoing projects and executive files.
-Maintain an organized and efficient office environment by overseeing supplies, equipment, and general office needs.
Bachelor's Degree.Excellent Communication skills.Excellent command of written & spoken English.2+ years of experience in a similar role.
