1. Support to Referral Focal Point Doctor:
o Assist in managing and organizing patient referral cases, ensuring that
documentation is complete and accurate for submission to the Referral Focal
Point Doctor.
o Help maintain and update referral records, tracking progress and follow-up
actions.
2. Support to Project Section Head:
o Provide administrative support to the Project Section Head, ensuring that all
relevant documents, reports, and records are in place for internal and external
communication.
o Assist with the preparation and organization of materials for meetings, including
ECC-related discussions.
3. Email & Communication Management:
o Respond to project management-related emails, ensuring timely communication
with internal and external stakeholders.
o Draft and send responses to inquiries related to the project, including scheduling
and coordinating follow-up actions as required.
4. Documentation & Filing:
o Ensure that all referral and project-related documentation is accurately filed and
easily accessible for the team.
o Maintain databases and filing systems to track referral cases, responses, and
communications.
5. Reporting Assistance:
o Help prepare and compile reports related to the referral process, project activities,
and any follow-up actions.
o Ensure that reports are sent to the appropriate team members (e.g., Referral Focal
Point Doctor, Project Section Head).
6. Process Improvement:
o Identify areas for improvement in the referral documentation process and propose
solutions to enhance efficiency.
o Work closely with the Referral Focal Point Doctor and Project Section Head to
streamline administrative processes.
Education & Experience: Bachelor’s degree in healthcare administration, business administration, public health, ora related field is preferred. Minimum 2 years of experience in administrative support, healthcare coordination, orproject management. Experience in referral systems, medical case documentation, or patient coordinationis preferred. Prior experience in humanitarian organizations, NGOs, or refugee assistanceprograms is an advantage.Skills & Competencies: Administrative & Organizational Skills: Strong ability to manage documents, maintainaccurate records, and track referral processes efficiently. Communication & Coordination: Excellent verbal and written communication skills tohandle internal and external correspondence professionally. Data Management & Reporting: Experience in organizing databases, preparing reports,and ensuring proper documentation flow. Problem-Solving & Process Improvement: Ability to identify administrativeinefficiencies and propose solutions for better workflow. Attention to Detail: Strong focus on accuracy and completeness in documentation andcommunication. Confidentiality & Professionalism: Understanding of medical confidentiality andability to handle sensitive patient information securely.Technical Proficiency: Proficient in Microsoft Office (Excel, Word, PowerPoint, Outlook) for documentation,tracking, and reporting. Experience working with medical record systems, referral tracking tools, or casemanagement software is a plus.Languages: Proficiency in English and Arabic (written and spoken) is required. Knowledge of French, Tigrinya, Somali, or other refugee languages is an advantage.
