About the Role
We are seeking a proactive and resourceful Executive Assistant to support the CEO in managing multiple businesses. The ideal candidate will be a master organizer, problem-solver, and team player who thrives in a dynamic environment. This role is critical to ensuring smooth operations, maintaining team efficiency, and minimizing unnecessary distractions for the CEO.
Key Responsibilities
Team Performance Management
- Monitor and track team performance and punctuality.
- Ensure timely submission of periodic work reports.
- Identify areas for improvement and propose solutions to enhance productivity.
Office Management & Employee Morale
- Oversee office operations and ensure a positive, high-energy work environment.
- Plan and implement initiatives to maintain and improve employee morale.
CEO Gatekeeping
- Act as the primary point of contact for all matters requiring the CEO’s attention.
- Filter and prioritize requests and communications, escalating only essential items to the CEO.
Scheduling & Administrative Support
- Manage and optimize the CEO’s schedule, including meetings, appointments, and events.
- Draft professional correspondence, reports, and other documents as needed.
- Coordinate travel arrangements and logistics.
General Problem Solving & Support
- Serve as a “jack of all trades” to address miscellaneous tasks and challenges as they arise.
- Maintain a pulse on business operations and pre-emptively address potential issues.
- Handle various ad-hoc tasks and requests as needed to support the CEO and ensure efficient business operations.
Requirements:Proven experience as an Executive Assistant, Personal Assistant, or in a similar administrative role supporting senior management.Exceptional organizational and time-management skills, with the ability to prioritize tasks and meet deadlines in a fast-paced environment. Excellent communication skills, both written and verbal, with a professional and polished demeanour.Strong interpersonal skills and the ability to build rapport with individuals at all levels. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software. Ability to handle confidential information with discretion and maintain a high level of professionalism.
