Executive Assistant

Job Purpose

The Executive Assistant, reporting directly to the Marketing & Customer Services Director, provides high-level executive, administrative, and development support. Serving as the primary point of contact for both internal and external stakeholders, the Executive Assistant manages all communications related to the Marketing & Customer Services Director and acts as a liaison to the Managers within the Customer Service Department.

Responsibilities/Duties

  • Provide comprehensive administrative support to the Marketing & Customer Services Director, including managing an active calendar, preparing expense reports, composing correspondence, and arranging detailed travel plans, itineraries, and agendas.
  • Prepare documents for meetings and coordinate logistics as needed.
  • Assist the Director during external meetings by translating from Arabic to English or French, taking notes, and drafting meeting minutes.
  • Oversee Purchase Requests and Work Permits for the CS Department.
  • Manage uniform orders and deliveries for all CS Department staff categories.
  • Collaborate with the Director and CS Managers to prepare external correspondence, ensuring coordination with the Legal Department.
  • Track and follow up on letters from external stakeholders, such as the Ministry, NAT, etc.
  • Monitor the progress of the CS Department’s action plans.
  • Organize internal meetings and events for the CS Department.

Qualifications

ESSENTIAL QUALIFICATIONS, KNOWLEDGE & EXPERIENCE

  • Bachelor’s degree in a relevant field.
  • Excellent skills in writing, editing, grammar, organization, and research.
  • Fluency in English and Arabic; proficiency in French is a plus.

Knowledge

  • Strong interpersonal skills with the ability to build relationships with a wide range of stakeholders, including staff, board members, external partners, and donors.
  • Proficiency in MS Word, Excel, and PowerPoint.
  • Knowledge of additional languages and international customs is beneficial; proficiency in French or Spanish is advantageous.
  • Strong organizational, time-management, and problem-solving skills.

Experience

  • 3-5 years of experience in a similar role.
  • Prior experience supporting development and fundraising initiatives to increase donor contributions and funding sources.
