We are Hiring an Office Manager/Receptionist !
The Office Manger/Receptionist will play a crucial role in ensuring the smooth and efficient operation of the office. This position requires a seasoned professional with exceptional organizational skills, attention to detail, and the ability to navigate a wide range of administrative tasks.
Key Responsibilities:
HR & Admin Arrangements:
- Undertake occasional Admin/HR duties.
- Assign and guide on contract agreement while overlooking the local team and supervise multi-disciplinary teams in assigned offices (cleaning, maintenance, security etc.)
- Helps with compiling, preparing, and distributing special projects.
- Making arrangements from booking conference rooms to handling catering for corporate
events. - Manage budges for office, kitchen supplies other office expenditure and ensure cost – effectiveness.
- Ensuring lease agreements are tracked by the local team in the assigned portfolio and initiate timely renewal and rent payments.
- Coordinate complex travel itineraries, including flights, accommodations, and ground transportation.
- Prepare travel expense reports in a timely and accurate manner.
Communication and Correspondence: - Draft and edit professional correspondence, emails, and reports on behalf of senior executives.
- Handle phone calls, inquiries, and requests, ensuring a professional and timely response.
Meeting and Event Coordination: - Schedule and coordinate internal and external meetings, conferences, and events.
- Prepare meeting agendas, materials, and take minutes as required.
- Organize and maintain executive files, documents, and records in both physical and electronic formats.
- Ensure the confidentiality and security of sensitive information.
Task Prioritization and Time Management.
Collaboration and Liaison: - Collaborate with other team members to facilitate seamless communication and information flow.
- Liaise with various departments and stakeholders on behalf of senior executives.

Requirements: Fluent in English written and spoken is mustCandidate should have a solid experience from 3 to 6 years of progressively responsible administrative experience.Bachelor's degree or equivalent work experience.Personnel and HR experience is a Plus.Exceptional organizational and multitasking skills.Strong written and verbal communication skills.Proficiency in Microsoft Office Suite and other relevant software applications.Ability to handle confidential information with discretion and professionalism.
