Office Administration & Coordination
- Ensure the smooth operation of day-to-day administrative tasks and office operations.
- Manage office supplies, stationery, and inventory to avoid shortages or excess.
- Coordinate with suppliers and service providers for office-related requirements.
- Oversee facility management, including maintenance, cleaning, and security services.
2. Document Control & Record Management
- Maintain and organize company records, files, and documents efficiently.
- Ensure compliance with document retention policies and legal requirements.
- Manage confidential information with discretion and security.
- Prepare and distribute internal communications, reports, and correspondence.
3. Support to Management & Staff
- Provide administrative support to managers, department heads, and staff.
- Assist with scheduling meetings, preparing agendas, and taking minutes.
- Organize travel arrangements, accommodation, and logistics for staff and management.
4. Compliance & Regulatory Requirements
- Ensure compliance with local laws and company policies in administrative processes.
- Support audits and inspections by providing necessary documentation and records.
- Maintain safety and environmental documentation in collaboration with relevant teams.
5. HR Administrative Support
- Assist HR with onboarding new employees, maintaining employee records, and coordinating training sessions.
- Support in tracking attendance, leave applications, and payroll-related documentation.
- Facilitate employee engagement activities and events.
6. Communication & Liaison
- Serve as the point of contact between internal teams and external stakeholders.
- Handle correspondence with customers, suppliers, and regulatory authorities.
- Ensure smooth communication flow across departments.
7. Financial Administrative Tasks
- Handle petty cash and basic financial transactions under supervision.
- Process invoices, track payments, and maintain expense records.
- Support the finance team in budgeting and expense reporting.
8. Operational Support
- Coordinate vehicle and equipment usage for operational needs.
- Monitor and manage logistics-related documentation and requirements.
- Support production and operations teams with administrative tasks as needed.
9. Technology & System Management
- Oversee administrative software and tools used in office management.
- Ensure proper functioning of office equipment and systems.
- Train staff on administrative tools and technologies when required.
10. Continuous Improvement
- Identify opportunities to improve administrative systems and workflows.
- Suggest process enhancements to improve operational efficiency.
- Stay updated with best practices in administrative management.
Bachelor’s degree in Business Administration, Management, or a related field.Additional certifications in office administration or management are a plus.Minimum of 2-3 years of experience in an administrative or office management role.Experience in the construction or ready-mix concrete industry is preferred.Familiarity with procurement, logistics, and compliance processes.Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint, Outlook).Experience with administrative tools and document management systems.Basic knowledge of ERP systems (e.g., SAP, Oracle) is advantageous.Understanding of financial documentation, including invoices and petty cash handling.
