Internal Pre-Approval (HIPPO & LCM)

• Understand HIPPO system, facilitate colleagues with challenges and questions for HIPPO

  
  

• Facilitate UAE Speaker and Event Sponsorship LCMs on ContractPod.

  
  

Venue Sourcing, Logistics Management & Budgeting

• Activity initial budget building, venue recommendation, negotiation and contracting (raising POs) venues and logistics (flights, ground transfer, etc.) for meetings in line with internal local compliance requirements.

  
  

• Ensure Government required documents are passed on to the property in line with local government requirements

  
  

M&E Tool & Platform

• Ensure Cvent steps are carried out correctly (RFP, Contract, etc.) and data input accuracy.

  
  

KOL/Speaker Engagement

• Speaker contracting and engagement.

  
  

Post-Event Operations

• Timely reconciliation of LCM (the ones facilitated) and Cvent

  
  

• Ensure vendor invoice is timely processed and relative PO is closed and capture saving (in AP system and Cvent)

  
  

• Process KOL/Speaker payment for the honorarium of their services

  
  

Reporting

• Provide accurate data when report is required from Country M&E Team Lead / Regional M&E LEad

  
  

Vendor Management

• Maintain good relationship with vendors and timely raise to MPA and/or any other vendors (hotels, branding agency, etc.) if any performance issues.

  
  

• Venue familiarization for better recommendation to Project Owners

  
  

Internal Client Management

• Timely response to internal clients (project owners) regarding activity related questions, system operation questions, etc.

  
  

• Training on Viatris’ digital solution tools and refresher on internal requirements (compliance, lead time, etc.)
