Roles & Responsibilities

How you ll help us make health happen:

  • Act as a trusted gatekeeper for the CEO, COO and FD, exercising sound judgement in prioritising requests, managing competing demands and protecting executive time.
  • Provide administrative support for Executive Committee and Board meetings as required, including coordination, documentation and follow up of actions.
  • Act as minute taker in meetings, making notes of actions and then following up these actions in the agreed timescales
  • By organising documentation for meetings/teleconferences including agendas, minute preparation & distribution.
  • You will be managing Travel arrangements/expenses
  • By maintaining a professional and effective communication network across the business and with peers within Bupa, becoming involved in the life of the business.
  • Being responsible for the ordering, checking, and gaining approval for invoices, expense reimbursement and monitoring of budgets.
  • Organising company events or conferences, ordering stationery and supplies
  • By effectively managing the Directors diary ensuring the most effective use of their time
  • Dealing with all incoming mail making sure it is triaged and dealt with swiftly, adhering to deadlines and responded to accordingly.

Key Skills / Qualifications needed for this role:

  • Proven experience in a similar Executive support role
  • Excellent attention to detail with the ability to operate in an unstructured and fluid environment.
  • Strong discretion, resilience and emotional intelligence when working with senior executives.
  • Confidence working with ambiguity and limited information.
  • A good team player with a willingness to support all team members
  • Proactive, resourceful with the ability to work in a pressurised environment and meet deadlines
  • Excellent written and verbal communication and interpersonal skills, with the ability to deal effectively with staff at all levels in English and Arabic
  • Excellent time management skills with the ability to manage multiple priorities and deadlines
  • Experience in office co-ordination and providing PA support at Executive Director/Director level or similar high level committee
  • Excellent secretarial and administration skills with fast and accurate audio typing skills (minimum 70-75wpm)
  • Advanced proficiency in MS Office, especially Outlook, Word, Excel, and PowerPoint.
  • Knowledge of Payment Order systems, such as PeopleSoft

The role will include providing executive support to the Managing Director/Finance Director, as well as provide full administration and secretarial support, and communication with internal stakeholders, for the efficient running of the function as a whole.
