Job Summary The Senior Personnel Specialist is responsible for managing and overseeing personnel operations across the employee lifecycle, ensuring accurate records, compliance with labor and social insurance regulations, and consistent application of company policies. The role supports smooth workforce administration and acts as a key point of contact for employee-related documentation and government liaising.
Key Responsibilities Manage and maintain employee personnel files, ensuring accuracy, confidentiality, and legal compliance. Administer employee contracts, renewals, amendments, and official HR documentation. Handle employee onboarding and offboarding processes, including offer letters, contracts, clearances, and exit documentation. Ensure compliance with labor law, social insurance, and governmental regulations. Coordinate social insurance registration, updates, and termination processes. Prepare and issue official letters (employment certificates, salary confirmations, warning letters, etc.). Track leaves, vacations, probation periods, and contract expiry dates. Act as a point of contact for employee inquiries related to personnel matters and company policies. Support audits and inspections by preparing required personnel documents and reports. Prepare periodic manpower and personnel status reports for HR management. Recommend improvements to personnel processes and documentation controls.
Minimum Requirements Bachelor’s degree in Business Administration, Human Resources, or a related field.6–8 years of experience in personnel administration, with senior-level exposure. Strong knowledge of labor law, social insurance, and compliance requirements. Hands-on experience managing employee documentation and government-related processes. High attention to detail, confidentiality, and organizational accuracy. Strong communication and interpersonal skills. Ability to handle sensitive information professionally. Experience in agriculture, FMCG, or industrial sectors is a strong advantage.
