Job Title: Office Manager Location: Zahra Maadi, Cairo, Egypt (Onsite, Full-Time) Reports To: Operations Director / General Manager About the Role We are seeking a highly organized, proactive, and detail-oriented Office Manager to oversee daily administrative operations at our headquarters in Zahra Maadi. As the central point of contact for internal teams, external vendors, and visitors, you will ensure the office runs efficiently, professionally, and smoothly. This role requires someone who thrives in a fast-paced environment, takes ownership of facilities management, and fosters a positive workplace culture. Key Responsibilities Office Administration & Operations Manage daily office operations, including supply inventory, equipment maintenance, and vendor coordination (cleaning, security, maintenance, catering). Ensure the office environment is safe, organized, and compliant with health & safety regulations. Oversee reception duties: greet visitors, answer phone calls, manage incoming/outgoing mail and couriers. Maintain and organize physical and digital filing systems (contracts, invoices, employee records, etc.). Facility & Maintenance Management Act as the primary liaison with building management in Zahra Maadi for any facility-related issues (electricity, plumbing, AC, parking, security access). Schedule regular inspections and repairs for office equipment (printers, internet, CCTV, generators, etc.). Manage office keys, access cards, and security protocols. HR & Team Support Assist with onboarding new employees (workspace setup, access credentials, orientation materials). Coordinate internal events, team meetings, and company gatherings. Manage employee attendance tracking, leave requests (as needed), and support payroll with attendance data. Act as a culture champion to maintain a collaborative and respectful workplace. Finance & Procurement Process office-related purchase requests, negotiate with suppliers, and track expenses against budget. Coordinate with the finance department on invoice approval, petty cash reconciliation, and monthly reporting. Manage contracts with office service providers (cleaning, security, IT support, pantry supplies). Travel & Logistics Arrange local transportation, courier services, and travel bookings (flights, hotels, airport transfers) for staff and guests. Coordinate logistics for offsite meetings or external events. Qualifications & Skills Required Experience: 3–5 years of proven experience as an Office Manager, Administrative Manager, or similar role. Location: Must be able to reliably commute to Zahra Maadi daily (onsite role). Language: Fluent in Arabic and English (written and spoken). Tech Skills: Proficient in Microsoft Office (Word, Excel, Outlook, Teams) and Google Workspace. Soft Skills: Excellent communication, problem-solving, multitasking, and time-management skills. High level of discretion and professionalism. Mindset: Proactive, hands-on, able to work independently with minimal supervision. Preferred (Nice to Have) Experience using ERP systems (e.g., Odoo, SAP, Oracle) or expense management tools. Basic understanding of HR processes (recruitment coordination, onboarding).
