About the Role Our clinic is seeking a Clinical Data Systems Specialist to design, implement, and maintain our digital data management environment. The clinic currently receives imaging data mainly on CDs (DICOM format – fluoroscopy PCI and CT) and procedure/clinic information as printed paper reports. This role will establish a robust system to ingest DICOM data from CDs, scan and index paper reports, and unify all information into a structured database that reliably tracks patients, avoids duplicates, and facilitates secure data extraction and sharing.
Key Responsibilities• Design and deploy a secure database system for patient demographics, procedures, and imaging metadata (names, dates of birth, procedure dates, modalities).• Set up and manage workflows to import DICOM studies from CDs into a structured archive ensuring correct mapping of patient and study identifiers and preventing duplicate records.• Define and implement tools or processes for batch import, validation, and de‑duplication of DICOM exams using key identifiers (patient ID, name, date of birth, study date).• Establish a standard operating procedure for scanning paper reports• Ensure that scanned reports are consistently indexed and linked to the correct patient and visit/procedure in the database.• Develop user-friendly data entry and retrieval interfaces for clinicians and administrative staff, including standardized forms and templates.• Implement consistent metadata and naming conventions so that imaging (DICOM) and documents (PDF) can be searched together by patient, date, or procedure type.• Support data extraction and reporting for clinical audits, quality improvement projects, and research.• Train and support clinical and administrative teams in using the new systems and workflows, including preparing clear documentation and SOPs.
Qualifications• Bachelor’s degree in Information Technology, Computer Science, Health Informatics,Bioinformatics, or a related field (or equivalent experience).• Demonstrated experience in database design and management (e.g. SQL, relationaldatabases; experience with NoSQL is a plus).• Experience with medical imaging data and standards, particularly DICOM (e.g.importing studies from CD, understanding DICOM tags, basic troubleshooting).• Familiarity with PACS/VNA or other clinical image management systems is highlydesirable.• Experience with document scanning and OCR solutions, including defining indexingstructures and quality control processes.• Strong analytical, problem-solving, and organisational skills with high attention todetail.• Effective communication skills and ability to work closely with physicians, nurses,technicians, and administrative staff.
