Job Purpose:
The Administrator – M&C will provide administrative and coordination support to the Marketing & Communications team, with a strong focus on RFQ/RFP submissions, document management, project data coordination, and marketing support activities. The role requires high attention to detail, strong organizational skills, and the ability to work in a fast-paced, deadline-driven engineering/consulting environment.
Responsibilities:
Administrative & Proposal Support Provide administrative support in the preparation and compilation of RFQ/RFP submissions, ensuring compliance with client requirements and internal standards. Ensure all supporting documents (company profiles, project sheets, CVs, certifications, references) are accurate, updated, and well-organized. Prepare and maintain standard templates for document formatting, data entry, and proposal submissions.
Marketing & Project Coordination Assist in updating project sheets, presentations, and marketing materials. Collect and organize project information, team CVs, and reference materials for marketing and business development use. Coordinate with internal teams to gather required inputs within deadlines.
Data Management & Quality Control Support in basic data entry, document filing, and database updates. Perform data checks and quality reviews to ensure consistency, accuracy, and completeness of information. Maintain organized digital and physical filing systems for marketing and proposal-related documents.
Requirements:
Education Bachelor’s degree in business administration, Marketing, Communications, or a related field. Experience Minimum 3 years of relevant experience, preferably within an engineering, consultancy, or professional services firm. Previous exposure to RFQ/RFP processes is highly preferred.
Technical Skills Strong proficiency in MS Office (Excel, Word, Power Point). Knowledge of Adobe InDesign is a plus. Ability to work with templates, formatting guidelines, and structured documents.
