Job Details

We are seeking a motivated and detail-oriented Operations coordinator to support the daily operational workflow of our concierge services company. This role focuses on administrative and coordination tasks related to operations, including CRM data management, communication with departments, and supplier follow-ups. 

Key Responsibilities

1. Operational Data Management

-Maintain, update, and verify operational data in the CRM system accurately and in a timely manner

-Ensure data consistency, completeness, and proper documentation of operational records

-Support data tracking related to services, suppliers, and ground handling activities

2. Administrative Support for Operations

-Provide administrative assistance to daily operational activities

-Prepare, organize, and maintain operational documents and files

-Support internal teams with documentation related to service execution and workflows

3. Coordination with different parties 

-Follow up with ground handling managers regarding operational requirements and service updates

-Track confirmations, changes, and operational status to ensure smooth coordination

-Communicate relevant information to internal stakeholders

4. Supplier Communication and Follow-Up

-Communicate with suppliers via email and phone calls regarding services, schedules, and requirements

-Follow up on quotations, confirmations, and service delivery status

-Maintain professional relationships with suppliers and support issue resolution

5. Multi-Tasking and Operational Support Projects

-Assist in handling multiple operational tasks and small projects simultaneously

-Support the operations team in improving workflow efficiency and service coordination

-Perform additional operational duties as assigned to support overall service quality
