This multifaceted role requires strong knowledge of accounting principles and the ability to manage office operations, logistics, and executive support tasks. The successful candidate will play a key role in the financial health of the company while ensuring smooth day-to-day operations.


Role SummaryWe are seeking an Accounting & Office Administration Supervisor to oversee our finance operations and manage day-to-day administrative tasks. This includes handling accounts payable/receivable, tax compliance, inventory costing, general office management, and logistics coordination for hardware imports. The ideal candidate will have solid accounting experience, strong organizational skills, and the ability to support a fast-paced trading and service environment.Key ResponsibilitiesAccounting & Financial ReportingManage full-cycle accounting including AP/AR, general ledger entries, monthly/quarterly close, and bank reconciliationsPrepare and analyze financial statements, ensuring compliance with local regulations and Egyptian tax requirementsConduct cost accounting for imported hardware, track inventory costs, and maintain accurate product pricing across multiple product linesCoordinate with external auditors and tax authorities for annual audits and tax filingsOffice Management & AdministrationOversee office operations (supplies, facility maintenance, vendor relationships) and ensure smooth administrative workflowsEnforce and update company policies, manage record-keeping and documentation (contracts, shipment records, supplier agreements)Collaborate with different departments (Sales, Service, Implementation) to ensure administrative supportmeets business needsLogistics & Import CoordinationLiaise with shipping agents, customs brokers, and suppliers for efficient import of hardware productsManage logistics schedules, inventory tracking, and warehousing to ensure timely delivery and cost controlOversee purchase orders and track shipments, handling any discrepancies or delaysAfter-Sales & Service AdministrationWork closely with the service team to manage service contracts, scheduling, and billing for after-sales supportFacilitate consulting engagements and software project implementations from an administrative perspective, ensuring proper documentation, invoicing, and resource coordinationLeadership & Team CoordinationSupervise a small accounting and administrative team, assign tasks, and set performance goalsProvide training and mentorship to staff on accounting best practices, ERP usage, and office proceduresIdentify and implement process improvements to optimize cost efficiency and streamline workflowsQualifications & ExperienceEducation: Bachelor’s degree in Accounting, Finance, or related field (Master’s or CPA/CMA certification a plus)Accounting Background: Minimum 5 years of experience in accounting/finance, preferably within a trading, import/export, or service-oriented environmentTechnical Skills: Proficiency with ERP systems (preferably Odoo) and advanced Excel skillsTax & Compliance: Strong knowledge of Egyptian tax regulations and audit requirementsAdministrative Expertise: Experience in office management, dealing with vendors, and coordinating import logisticsLeadership: Demonstrated ability to supervise and mentor a small team, manage deadlines, and communicate effectivelyAnalytical & Problem-Solving: Detail-oriented with proven skills in cost analysis, inventory control, and budgeting
