- Manage the receipt, registration, distribution, and filing of all project documents, including drawings, specifications, contracts, and correspondence.
- Maintain accurate and organized records of all documents, ensuring they are easily accessible to stakeholders.
- Implement and enforce document control procedures, ensuring compliance with company standards.
- Check the accuracy and completeness of incoming and outgoing documents before distribution.
- Ensure version control is maintained and that obsolete documents are properly archived.
- Regularly update document logs and maintain accurate metadata for tracking purposes.
- Coordinate with project teams, consultants, and contractors to ensure timely submission and distribution of documents.
- Act as the main point of contact for document-related queries and requests.
- Facilitate the review and approval process for documents, ensuring deadlines are met.
- Utilize document management systems (e.g., Aconex, EDMS, SharePoint) to track and store documents.
- Provide technical support and training to team members on the use of document control software.
- Suggest improvements to existing document management processes and tools.
- Ensure all documents comply with company policies, project requirements, and regulatory standards.
- Generate regular reports on document status, approvals, and workflows for management review.
- Conduct periodic audits to ensure proper documentation practices are followed.
Bachelor’s degree in business administration, Information Management, or a related field.3 to 5 years of experience as a Document Controller, preferably in construction, engineering, or project-based environments.Proficiency in document management software such as Aconex, SharePoint, or equivalent tools.Advanced knowledge of Microsoft Office Suite, especially Excel and Word.Strong organizational and multitasking abilities.High attention to detail and commitment to accuracy.Excellent communication and interpersonal skills.
