- Maintain and manage the Managing Director's complex schedule, prioritizing appointments and meetings.
- Screen and prioritize incoming emails, and other communications.
- Respond to inquiries on behalf of the MD as necessary.
- Organize and coordinate meetings, conferences, and other events.
- Manage logistics, including venue selection, catering, and invitations.
- Handle a wide range of administrative tasks, such as correspondence, filing, and record-keeping.
- Assist the Managing Director with various projects, including research, analysis, and report writing.
- Manage travel arrangements, including booking flights, accommodations.
- Prepare meeting agendas, distribute materials, and coordinate logistics.
- Take detailed minutes during meetings and distribute them to relevant parties.
- Follow up on action items and ensure timely completion.
- Prepare presentations, reports, and other documents as required.
- Handle sensitive information with confidentiality.
- Maintain a high level of professionalism in communication with all stakeholders in the company at all times.
- Coordinate with other departments to ensure smooth operations.
Bachelor's degree in business administration, office management, or related fieldPrevious experience as an office manager or similar role.Excellent time management, prioritization, and multitasking abilities.Effective written and verbal communication skills, including the ability to interact with people at all levels.Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software.Ability to anticipate and resolve issues proactively.Attention to detail and accuracy.Willingness to adapt to changing priorities and work outside of regular business hours as needed.Prior experience as an executive or personal assistant is preferred.Excellent communication and interpersonal skills.
