Administrative Assistant

  1. Handle the booking of flights and hotel accommodations for executives and staff, ensuring cost-effective and convenient arrangements for business trips.
  2. Coordinate with travel agencies for travel arrangements and manage the visa issuance process, ensuring all necessary documents are prepared and submitted promptly.
  3. Accurately record and distribute minutes of meetings, ensuring that all relevant points and action items are captured and shared with the necessary stakeholders.
  4. Manage incoming phone calls, screening inquiries, and forwarding important calls to the appropriate departments; assist in the recruitment process by screening CVs for potential candidates.
  5. Efficiently manage the CEO’s calendar, scheduling and prioritizing appointments, meetings, and events to optimize time and ensure effective time management.
  6. Organize and maintain both digital and physical files, ensuring easy access to important documents and keeping all records up to date.
  7. Handle sensitive information with a high level of discretion, ensuring compliance with company confidentiality policies.
  8. Assist with invoicing, processing payments, and tracking budgets for departmental expenses.
  9. Support ongoing projects by tracking milestones, and deadlines, and assisting with documentation and reporting.

BSc in Business Administration or any related field, prefer (GUC, GIU,BUE….)Communication and Organizational SkillsTechnical Proficiency and Travel CoordinationProficient in both written and spoken English.Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).Demonstrate effective time management by handling multiple tasks and priorities efficiently and meeting deadlines.
