1. Export Documentation Preparation:

Prepare, review, and process all required export documentation, including but not limited to Bills of Lading, Certificates of Origin, Commercial Invoices, Packing Lists, and any country specific documents as required by destination countries.

Verify the accuracy and completeness of all documents in alignment with both local and international regulations.

Ensure timely submission of all export documents to prevent shipment delays and meet shipping schedules.

2. Subsidy File Management:

Maintain the subsidy file by compiling all necessary documentation, ensuring accuracy, and verifying the eligibility for any government or industry  specific subsidies.

Track subsidy applications, prepare required submissions, and liaise with internal departments to fulfill any additional document requests.

3. Collaboration and Communication:

Coordinate with internal departments, including Sales, Finance, and Warehouse, to gather required information and confirm documentation details.

Serve as a point of contact for queries related to export documentation and subsidies, responding to internal and external stakeholders promptly.

4. Compliance and Standards Maintenance:

Keep updated on any changes in export documentation requirements, customs regulations, and compliance guidelines.

Ensure all documentation meets company standards and regulatory compliance, minimizing potential liabilities or shipment delays.

5. Record Keeping and Data Management:

Organize, maintain, and archive both physical and electronic records of all documentation for easy retrieval and audit purposes.

Utilize document management systems or relevant software to track and update documentation processes, ensuring data integrity and accessibility.

6. Continuous Improvement:

Proactively identify areas for process improvement in documentation management and compliance workflows.

 Participate in regular training sessions to stay updated with best practices and industry changes.


Experience: Previous experience in documentation, logistics, or export management is a plus but not required; training will be provided.Technical Skills: Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) is essential. Familiarity with documentation management software or ERP systems is advantageous but not mandatory.Language Proficiency: Native level English language skills are required for preparing and reviewing documentation accurately.Education: Bachelor’s degree in business administration, International Trade, Logistics, or a related field is preferred but not essential.
