Senior Specialist, Center for Entrepreneurship and Innovation (CEI), Administration and Operations CEI, (Grant Position)

Reports to: Director, Center for Entrepreneurship and Innovation (CEI)


Purpose: The job holder will perform a variety of CEI administrative and operations tasks which includes providing support to CEI staff activities and programs, handling the daily office needs and managing the Ccenter’s general administrative, events activities, handling scheduling, bookings and meetings.


Responsibilities:

  • Manage and execute all administrative requests and queries from CEI staff
  • Manage operations support for CEI activities and different initiatives throughout the year
  • Assist the center director in the human resources activities (keep track of holidays register, records and documentation)
  • Organize and schedule appointments as needed
  • Plan and attend meetings and take detailed minutes
  • Manage all events planning tasks and logistics
  • Act as the focal point with stakeholders in any logistical and/or operational tasks
  • Book travel arrangements and settle internal clearances
  • Responsible for data entry, compiling and maintaining up to date CEI contact lists
  • Submit and reconcile expense reports within assigned cost center budget
  • Maintain and update expenditure records, budget and financials for the center
  • Create/Update programs financials database (SAP)
  • Tracking, management and analysis of Cost center budget
  • Assist in the preparation of regularly scheduled reports
  • Support in follow-up, reporting and Monitoring and Evaluation of various projects
  • Handle social media and marketing activities as needed
  • Responsible for all The American University in Cairo’s internal communication with other offices to fulfill the CEI activities implementation
  • Develop, maintain and file all documents related to CEI (memorandums of understanding, statements of work, agreements, reports, etc.)
  • Perform other operations and administrative support related duties as assigned


Requirements:

Minimum Education Requirements:

  • Bachelor’s degree in business administration or relevant field


Experience:

  • Minimum of three to five years of administration experience
  • Experience in report and proposal writing, database management and budgets
  • Financial literacy
  • Knowledge of The American University in Cairo’s (AUC) internal processes is favorable
  • Previous training/experience in project management, project finance, and business writing is an asset


Skills:

  • Excellent time management skills and the ability to prioritize work
  • Attention to details and problem-solving skills
  • Excellent command of the English and Arabic language written and verbal communication skills
  • Good computer skills; proficient in Microsoft Office, Zoom, etc.
  • Excellent planning, organizational and analytical skills, with the ability to multi-task
  • Energetic, self-motivated and possess friendly attitude
  • Good handling of ad-hoc multiple tasks with high-quality performance
  • Strong interpersonal skills
