Purpose of Role:

  • Overseeing administrative operations, ensuring efficient record-keeping, and maintaining the confidentiality and security of office data. The responsibilities include coordinating and facilitating high-level meetings, managing the Managing Director’s daily tasks, and organizing appointments, travel arrangements, and communications.


Critical Responsibilities:

  • Be aware of their role, responsibilities and accountabilities to perform their activity in accordance with HSEQ.


Areas of Accountability, Responsibility and Competence:

  • Administering the functions of the office of the Managing Director.
  • Monitoring and establishing procedures for office record-keeping and ensuring the confidentiality and security of data.
  • Attending and facilitating, when requested, top-level meetings and providing agendas and minutes for the meetings.
  • Follow up on day-by-day tasks that the Managing Director assigns directly, including follow-up on tasks assigned to senior staff employees.
  • Handle and arrange the affairs of the Managing Director in terms of appointments, visitors, communications, internal and external meetings, and maintaining calendars accordingly.
  • Coordinate all travel arrangements for Managing Director, such as hotel bookings, flight tickets, the visa issue process, and international transportation as required.
  • Establish and manage relations with public and governmental organizations related to Managing Director and maintain their updated contact list.
  • Responsible for all visitors' arrangements for the Company MENA offices.
  • Selecting and distributing the Managing Director office handouts on the occasion of New Year gifts and other occasions.
  • Maintain, manage, and ensure appropriate backups and strong softcopies of files.
  • Focal point between the MENA Region and the senior management executive assistants.
  • Perform word processing activities and carry out translations from and into Arabic and English.


Critical Skills, Qualifications, Experience, etc.:

  • Bachelor’s degree
  • Several years of sound professional experience in a similar role.
  • Proficiency in computer applications
  • Excellent verbal and written Arabic and English. French language proficiency is a plus.
  • Working knowledge of the oil and gas sector is a plus.
