HR Officer

Job Purpose

The HR Officer is responsible for managing and maintaining employee records, ensuring the accuracy and integrity of HR systems, advising employees on HR policies and labor regulations, and supporting the onboarding process. This role is critical in ensuring compliance with legal standards, improving employee experience, and facilitating efficient HR operations across the organization.

Responsibilities/Duties

  • Maintain and update employee records in both soft and hard copies, ensuring compliance with data protection regulations.
  • Update internal HR systems and databases, ensuring data integrity and timely reporting.
  • Prepare and deliver reports and presentations on HR-related metrics for internal communications and management review.
  • Process employee requests and provide relevant information, advising on HR policies, procedures, and hiring regulations.
  • Conduct HR investigations and apply sanctions in compliance with labor law
  • Facilitate the onboarding process by distributing policies to new hires, addressing their inquiries, and ensuring smooth integration into the company.
  • Manage departmental communications, including answering telephone calls and addressing HR-related queries promptly
  • Verify and maintain accurate leave records, ensuring up-to-date balances and compliance with company policies.
  • Serve as an HR Representative at various company locations, such as Depot and Metro Line offices, ensuring consistent HR support across sites.
  • Perform other duties and responsibilities as assigned to contribute to the overall efficiency and effectiveness of the HR department.

Qualifications

ESSENTIAL QUALIFICATIONS, KNOWLEDGE & EXPERIENCE

  • BSc in Human Resources or relevant field

Knowledge

  • Familiarity with Human Resources Information Systems (HRIS)
  • Basic knowledge of labor legislation
  • Experience using Microsoft Office Suite
  • Organizational skills
  • Good verbal and written communication skills

Experience

  • Proven experience of 3-5 years as an HR & Admin Officer, HR Administrative Assistant, or similar role
