Billing/Collections Administrative Officer

We are looking for a meticulous Billing/Collections Administrative Officer to join our team.


This role is critical in managing billing and collection processes to ensure accurate and timely billing cycle. The Officer will handle various administrative tasks, focusing on developing and maintaining strong and professional business relations with clients to ensure profitability and prosperity for the firm and clients.


Responsibilities:


  • Billing Management: Manage the preparation and issuance of invoices and expense claims, ensuring accuracy and timely delivery to clients. (Prepare, draft, and finalize invoices for partners approval)
  • Collection Follow-Up: Track outstanding invoices and follow up with clients to ensure timely payments.
  • Manage the preparation of engagement letters and signatures by partners and follow-up on counter signatures.
  • Data Management: Maintain and update client’s information on the firm’s financial systems.
  • Client Communication: Develop and maintain positive relationships with clients through effective communication regarding billing matters.


Qualifications:


  • Bachelor’s degree.
  • Minimum of 4 years of experience in billing, administration, or a similar role.
  • Previous experience in Client relations is an asset.
  • Proficiency in Microsoft Excel.
  • Ability to work with billing software is an asset
  • Excellent English communication skills (verbal and written).
  • Strong organizational skills, attention to detail, and the ability to manage multiple tasks simultaneously.
  • High emotional intelligence and the ability to work well under pressure
