Project Management:
- Receive and log all incoming project requests
- Create and maintain detailed project schedules, assigning tasks and deadlines
- Monitor project progress and proactively identify potential bottlenecks or delays
- Coordinate with creative teams, account managers, and clients to ensure everyone is aligned on project timelines and deliverables
- Facilitate daily "opening traffic" and "closing" calls with Account Managers to define project priorities and address any urgent needs.
- Manage project budgets and track expenses
Resource Management:
- Allocate creative resources (designers, copywriters, etc.) to projects based on skills and availability
- Ensure resources are utilized efficiently and avoid overbooking or underutilization
- Anticipate resource needs for upcoming projects and proactively plan for staffing requirements
- Maintain an up-to-date database of creative team members' skills and experience
Communication and Collaboration:
- Serve as the central point of contact for all project-related communication
- Facilitate clear and concise communication between creative teams, account managers, and clients
- Proactively manage expectations and address any concerns or issues that arise
- Foster a collaborative and positive working environment across teams
Process Improvement:
- Continuously evaluate and improve workflow processes to increase efficiency and productivity
- Identify and implement project management tools and software to streamline operations
- Develop and maintain documentation for project management processes and procedures
Design Support:
- Provide design support on projects as needed, including layout, image editing, and production
- Assist with overflow design work during peak periods
- Ensure design consistency across projects and adherence to brand guidelines
- Stay up-to-date on design trends and software
Education and Experience:Bachelor's degree in a relevant field (graphic design, visual communication, or related field) or equivalent experience4+ years of experience in a traffic management or project coordination role, preferably in a creative agency or in-house creative departmentProven track record of successfully managing multiple projects simultaneouslyDemonstrated design skills and proficiency in relevant design software (e.g., Adobe Creative Suite)Skills and Abilities:Exceptional organizational and time management skillsExcellent communication and interpersonal skills, both written and verbalStrong problem-solving and decision-making abilitiesProficiency in project management software and tools Ability to work under pressure and meet tight deadlinesAdaptability and flexibility to handle changing prioritiesA passion for creative work and a desire to support the creative processStrong understanding of design principles and best practicesAbility to collaborate effectively with Account Managers and understand client needs
