Job Purpose: The Admin Affairs Supervisor is responsible for managing all administrative functions, including government relations, procurement processes, and ensuring the smooth operation of hospitality and maintenance activities. This role requires effective coordination of travel arrangements and reception duties, as well as the ability to ensure timely execution of administrative requests.
Duties and Responsibilities:
- Monitor and manage all reviews related to government relations in the area.
- Submit and track all purchase requests for the area using Oracle.
- Oversee vehicle movements, including accidents, rentals, insurance, and deliveries.
- Maintain and manage the property insurance file for the area.
- Supervise hospitality, cleanliness, and maintenance activities within the area management.
- Coordinate travel arrangements, including hotel, flight, and transportation bookings, and welcome guests.
- Ensure timely execution of requests received by administrative affairs through the ticketing system or email.
- Handle and follow up on the receipt and delivery of outgoing and incoming shipments.
- Perform reception duties, directing visitors and clients to their destinations and welcoming them.
- Prepare necessary reports on a regular basis.
- Undertake any other tasks related to the nature of the job as assigned.
Qualifications:
- Bachelor’s degree in Business Administration, Management, or a related field.
- 3+ years of experience in administrative roles, including at least 1 year in a supervisory capacity.
- Proficiency in Microsoft Office Suite and Oracle.
- Strong organizational and multitasking abilities.
- Excellent leadership and communication skills.
- Familiarity with administrative compliance and document management.
