Key Responsibilities Administrative & Secretarial Support Perform general secretarial duties including document preparation, filing, photocopying, scanning, and correspondence management. Maintain organized and easily accessible filing systems. Translate documents and correspondence as required. Handle incoming mail and distribute it to the appropriate departments. Prepare meeting agendas, record meeting minutes, and coordinate meeting logistics. Office Administration Manage office supplies, stationery inventory, and buffet supplies. Coordinate office maintenance, furnishing, and renovation activities. Supervise and coordinate the work of security personnel, office assistants, cleaning staff, and receptionists. Support and act as a backup for the Personal Assistant when needed. Travel & Logistics Coordination Arrange business travel, flight bookings, hotel reservations, and transportation. Organize visa appointments and prepare travel-related documentation for business trips. Coordinate meeting room reservations and logistics. Operational Support
Qualifications & Requirements Bachelor’s Degree in Business Administration or a related field. Office Management certification is considered an advantage. Experience Minimum 7 years of experience in a similar Executive Secretary, Executive Assistant, or Administrative role. Proficient in using office equipment and administrative systems. Strong customer service orientation. Personal Skills Excellent communication and interpersonal skills. Strong organizational and time-management abilities. Ability to multitask and work under pressure. High level of reliability and professionalism. Strong sense of confidentiality and discretion. Flexible, adaptable, and proactive. Positive attitude with excellent customer service skills.
