Purpose of the Job: To ensure the safe, reliable, and efficient operation of all buildings and facility systems through effective maintenance, continuous improvement, and full compliance with health and safety regulations. The role is responsible for supporting the readiness and operational setup of new buildings, and for coordinating vendors, contractors, and internal stakeholders to deliver seamless facility services. Responsibilities and Duties:Manage day-to-day facility operations to ensure a safe, efficient, and well-maintained working environment. Oversee preventive and corrective maintenance activities across all facility systems, including electrical, mechanical, HVAC, utilities, generators, UPS, and emergency lighting. Ensure proper operation, testing, and readiness of backup systems such as generators, UPS, and emergency lighting at all times. Conduct regular inspections of facility areas to identify risks, faults, and improvement opportunities. Ensure all maintenance activities comply with safety, regulatory, and quality standards. Monitor energy and utility consumption and propose efficiency improvements and cost-optimization initiatives. Ensure fire safety systems are fully operational, tested regularly, and supported by updated emergency response plans. Ensure full compliance with health, safety, and environmental regulations by monitoring facility conditions, enforcing safety protocols, and promptly addressing hazards. Conduct regular safety inspections, risk assessments, and emergency preparedness evaluations, with clear action plans to close identified gaps. Ensure safety protocols, emergency procedures, and access controls are implemented, communicated, and kept up to date. Attend required health and safety training and provide staff training on emergency procedures, safe equipment use, and facility safety guidelines. Lead facility-related projects such as renovations, relocations, and space optimization initiatives. Manage the handover, commissioning, and operational readiness of new buildings, ensuring system acceptance, regulatory compliance, snag-list closure, and full setup of FM operations for smooth transition to occupancy. Coordinate with external contractors and service providers for maintenance, repairs, and facility services. Review, manage, and monitor service contracts for security, cleaning, and maintenance providers to ensure compliance with agreed terms and service level agreements. Evaluate contract proposals, quotations, and renewals to ensure cost-effectiveness and alignment with operational needs. Track contract expiry dates and initiate timely renewal, renegotiation, or replacement processes. Monitor vendor performance and address service issues promptly. Supervise housekeeping teams to ensure consistent cleanliness and hygiene across all premises. Monitor cleaning schedules and service performance to maintain quality standards. Manage security service providers and ensure adherence to agreed service levels and access control procedures. Maintain accurate inventories of facility, office, and kitchen supplies. Monitor stock levels and ensure timely replenishment. Control asset custody and maintain proper documentation. Document maintenance activities, vendor performance, asset conditions, incidents, and project progress. Prepare regular reports on facility operations, maintenance activities, incidents, and operational KPIs. Prepare and manage the facility budget, monitor expenses, and identify cost-saving opportunities. Support facility team members with guidance, coordination, and problem-solving assistance. Liaise with internal departments to ensure smooth and uninterrupted operations. Education:Bachelor’s degree in Engineering (Mechanical, Electrical, Industrial, or related field). Experience: Minimum of 4 years’ experience in facility systems Strong knowledge of facility systems (electrical, mechanical, HVAC, plumbing). Experience in maintenance planning and vendor management. Familiarity with safety regulations, emergency procedures, and compliance requirements. Skills and Abilities:Fluency in both written and spoken English.
