Role Description We are seeking an operations Manager to join our on-site team in Cairo, Egypt. This is a full-time role responsible for overseeing day-to-day operational activities and ensuring that all processes are running efficiently. • Manage and oversee the full lifecycle of projects from client briefing through to the final Project stage, ensuring all project activities align with client requirements, timelines, and budgets. • Coordinates between clients, design, operations, and finance teams to guarantee quality execution, timely delivery, and financial control, while maintaining strong client relationships and facilitating smooth internal and external communication.
Qualifications Strong organizational, planning, and time management skills Experience in vendor management and contract negotiation Proficiency in overseeing event logistics and operations Excellent communication, leadership, and problem-solving abilities Background in marketing or event management is highly advantageous Proven ability to lead and motivate teams effectively Proficiency in project management tools and software Fluency in English; additional languages are a plus Bachelor’s degree in civil Engineer Previous operations management experience in marketing, events, or related industries is preferred
Responsibilities & Accountabilities Receive project briefs from clients or the sales team, ensuring all necessary information is complete and accurate. Monitor the project timeline and coordinate with the projects team to ensure progress aligns with the planned schedule. Prepare the project budget, track financial movements, and obtain approval for project expenditures from the finance department. Oversee the financial closing of projects in coordination with the finance department. Communicate and engage with potential clients to understand their business needs. Gather detailed business briefs from clients based on their requirements and budget. Analyze client needs for events, booths, or printed materials. Relay client requirements to the design team to initiate 3D design development. Follow up with designers to ensure timely completion of requested designs and verify alignment with the client brief. Submit design drafts to clients or sales team for review and approval. Communicate any required design amendments to designers and manage the revision process until client approval is secured. Obtain design grids and descriptions from designers and forward pricing requests to the operations team. Review job orders received from the operations team for approval and prepare price offers for clients accordingly. Finalize 3D designs and pricing agreements with clients. Execute final contracts with clients and collect down payments to initiate production. Ensure all necessary files and documents are prepared and ready for the final production process. Oversee the construction phase to ensure booth production meets quality standards and deadlines. Resolve any issues arising during the exhibition dates promptly. Maintain long-term client relationships through regular follow-ups and communication. Monitor payments and remaining project payments from clients. Issue invoices through accounting and ensure timely delivery to clients. Coordinate with the operations team on project construction progress before client delivery. Serve as the primary liaison between the software provider (Odoo system) and Scope IMS company. Supervise the operations department to coordinate with suppliers and subcontractors to ensure timely delivery and quality of materials and services. Lead post-project evaluation meetings and prepare comprehensive reports on project outcomes and lessons learned. Ensure compliance with health and safety regulations during project execution. Implement and monitor quality control processes throughout the project lifecycle. Optimize operational workflows to improve efficiency and reduce costs. Facilitate cross-functional collaboration between sales, marketing, design, and production teams. Develop and maintain project documentation, including schedules, contracts, and progress reports. Drive continuous process improvements and innovation within the operations team
