Job Description

We are seeking a highly organized and professional Executive Administrative Assistant / Office Coordinator to support our team. The role involves providing comprehensive administrative support, managing schedules, and ensuring smooth office operations.

Key Responsibilities

  • Manage and coordinate daily schedules, appointments, and meetings for executives and staff.
  • Prepare, review, and distribute correspondence, reports, and other documents as needed.
  • Maintain organized filing systems (electronic and physical) to ensure easy retrieval of information.
  • Handle incoming calls, emails, and other communications, directing them to the appropriate parties.
  • Greet and assist visitors, providing a professional and welcoming environment.
  • Organize travel plans, accommodations, and logistics for staff and executives.
  • Monitor office supplies and process requests to maintain adequate stock levels.
  • Assist in organizing events, meetings, and conferences as required.
  • Support the administrative team with data entry, record maintenance, and other clerical tasks.
  • Ensure confidentiality and security of sensitive information at all times.

Required Skills & Qualifications

  • 3 – 7 years of proven experience in a secretarial or administrative support role.
  • Excellent verbal and written communication skills.
  • Strong organizational and multitasking abilities.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Ability to work independently and collaboratively within a team.
  • High level of professionalism and discretion when handling sensitive information.
  • Strong attention to detail and accuracy in all tasks.
  • Effective time management and task prioritization skills.
  • Customer service-oriented with a positive and proactive attitude.
  • Flexibility to adapt to changing priorities and requirements.
