Role Purpose: The purpose of this role is to support examination capacity planning by aligning operational resources with demand over an 18‑month forward-looking horizon, managed on a 12‑month rolling basis. The postholder is responsible for translating forecast demand into effective capacity and resource requirements across venues, staffing, and test materials to optimise operational efficiency and margins while maintaining agreed service levels. The role plays a key part in maximising operational agility, ensuring appropriate contingency planning, and contributing to robust planning reports that inform capacity fulfilment, planning effectiveness, and cost-to-serve analysis.




Main Accoutabilities:



Reporting to the Exams Operations Manager, this role provides essential back-office, administrative, and operational support to ensure the smooth and secure delivery of examinations. The postholder will act as a key user of exam systems, managing exam data in line with exam board handbook requirements and monitoring candidate status daily to ensure deadlines are met. Responsibilities include allocating and communicating timetables to test day staff, supervising venue staff where required, and supporting invigilators through the controlled handover and return of test day materials when the Administrator is unavailable. The role also involves issuing additional communications to candidates, marking and archiving exam materials, processing refunds and test day transfers, handling results posting requests, and managing enquiries on results and appeals.
Safeguarding and compliance form a critical part of this role. The postholder will ensure that child protection, equality, diversity and inclusion, health and safety, and environmental framework standards are applied consistently and in line with policy and regulatory requirements.
Effective stock control is also a key accountability. This includes the dispatch and tracking of exam materials, secure storage and destruction of test materials and records in accordance with exam board regulations, and the completion of regular stock checks with accurate record keeping to maintain audit readiness.
On exam delivery days, the role ensures that venues are fully prepared and compliant, with exam materials arriving securely and on time at test centres. The postholder may be required to book invigilation staff and act as a test day supervisor or invigilator, taking responsibility for maintaining delivery standards and reporting any incidents promptly to the Exams Coordinator.
The role includes supporting the Operations Manager in the selection and management of venue staff, setting clear performance expectations, maintaining positive working relationships, and completing performance follow-up and feedback. The postholder is expected to participate fully in training activities to maintain up-to-date knowledge of exam administration and test day procedures.
Customer support is an integral part of the post. The role holder will respond to customer enquiries, acting as a point of reference for specific areas of responsibility, and escalating complex issues when required. They will recognise operational or service-related incidents that may affect delivery or customer experience and proactively alert the team leader to ensure timely resolution.
In addition to core duties, the role will support the organisation of IELTS-related events and assist with the preparation of financial reports, contributing to the effective running and continuous improvement of exam services.

Knowledge & Experience:
Minimum / Essential:
•    Relevant working experience for 2 year in a similar environment
•    B2 written and spoken English

Contract Type: Fixed term, 1 year
Pay-band: 4/H
Salary: EGP 16,667 gross
Requirements: Candidates should possess a valid Egyptian passport and right to work in Egypt.
Mobility / relocation / visa sponsoring support will not be provided.
This may include non standard working patterns such as weekend or evening.
