Job Details

The Travel & Logistics Senior Executive is responsible for the strategic planning and seamless execution of all corporate travel and logistical movements for Konzept staff and delegates. This role ensures that international trade missions, exhibitions, and corporate trips are executed cost-effectively, safely, and in full compliance with company policy, while maintaining high service standards for all travelers.

 

Key Responsibilities:

 

A. Strategic Travel Management

  • End-to-End Coordination: Oversee the complete travel lifecycle, including flight reservations, hotel accommodations, and rail/ground transport for both individual and large group movements.
  • Visa & Documentation Lead: Manage the end-to-end visa application process for diverse destinations (Europe, USA, Africa), ensuring all documentation is submitted accurately and deadlines are met to avoid travel disruptions.

B. International & Local Logistics

  • Ground Transportation: Design and manage local transport schedules (shuttles, private transfers, car rentals) for overseas trade missions and local events.
  • Freight & Material Logistics: Coordinate the shipping, customs clearance, and delivery of exhibition materials or equipment to international venues, working closely with freight forwarders.
  • Risk Management: Monitor global travel alerts, health requirements, and security updates. Act as the 24/7 emergency point of contact for travelers experiencing delays or logistical issues.

C. Vendor Management & Procurement

  • Contract Negotiation: Negotiate preferential rates and corporate discounts with airlines, hotel chains, and transport providers to maximize the travel budget.
  • Relationship Management: Maintain and evaluate a network of reliable travel agencies, local ground handlers, and logistics partners across key regions (Middle East, Europe, Africa).
  • SLA Monitoring: Ensure all third-party vendors meet agreed-upon Service Level Agreements (SLAs) regarding response times and service quality.

D. Financial Oversight & Reporting

  • Budget Tracking: Monitor travel spend against project budgets, providing regular reports to the Finance Department on variances and savings achieved.
  • Expense Reconciliation: Review and validate travel-related invoices and expense reports to ensure they match booked itineraries and policy limits before payment.
