Administrative Affairs Officer – Full Time

Responsibilities and Duties

  • Manage day-to-day office operations and ensure the workplace is always ready (cleanliness, hospitality, minor maintenance, and security).
  • Monitor office supplies (stationery, cleaning materials, hospitality items, etc.), coordinate with vendors, issue purchase requests, and review related invoices.
  • Organize and maintain administrative files, contracts, and invoices, both physically and electronically, in a way that ensures easy retrieval.
  • Welcome visitors and clients, handle phone calls and emails, and direct them to the appropriate departments.
  • Coordinate with service providers (internet, equipment maintenance, security, cleaning companies) and follow up on issues until they are resolved.
  • Prepare periodic reports on office expenses and upcoming needs in coordination with the finance/administration department.
  • Assist in arranging travel, transportation, hotel bookings, and external meetings for employees when required.
  • Conduct market visits to purchase office supplies and services at the best prices and quality, and compare offers between different vendors.
  • Negotiate with suppliers, obtain multiple quotations, and ensure cost-effective purchasing for all administrative needs.
  • Provide administrative support to the HR department in tasks related to attendance, personnel files, and basic official letters.
