Position Summary The Operational Specialist at Quola plays a key role in ensuring the efficiency and accuracy of daily operations. This role supports the sales team, manages reporting, improves operational processes, and ensures smooth cross-department coordination. The Specialist helps Quola maintain high operational standards and provides actionable insights to support business growth.
Key Responsibilities1. Reporting & Analytics Prepare and maintain daily, weekly, and monthly operational and sales reports. Ensure consistency and accuracy of all operational data. Support the sales team with performance dashboards, forecasting, and KPI tracking. Analyze trends and provide insights to management for decision-making.2. Freight Forwarding Operations Coordinate with carriers, shipping lines, airlines, and agents on shipment bookings and schedules. Handle import/export documentation (BL, AWB, invoices, packing lists, customs forms). Monitor shipment status and proactively update internal teams and customers. Assist with customs clearance coordination and compliance processes4. Systems & Tools Management Maintain and update CRM, ERP, or internal tools used by Quola. Identify system issues and coordinate with IT or external vendors. Provide training to team members on operational tools and processes.3. Sales Team Support Provide the sales team with operational data, costings, and rate confirmations. Support commission tracking, sales performance reporting, and customer analysis. Assist in preparing quotations, presentations, and customer materials. Qualifications Diploma or Bachelor’s degree in Business, Operations, Management, or a related field.1–3 years of experience in freight forwarding or logistics operations. Strong proficiency in Microsoft Excel and reporting tools. Excellent communication, coordination, and organizational skills. High attention to detail and ability to work independently.
