Executive Business Partner to General Manager

  • This role provides high-level executive, administrative, and project coordination support to the GM of one of the company’s major subsidiaries. The role includes coordinating operational and strategic projects, preparing research and analytical reports, organizing meetings, and supporting key initiatives in the transportation and logistics sectors as well as managing the GM’s calendar and travel.

The role requires strong project management skills, excellent communication capabilities, and a solid understanding of logistics operations and market dynamics. ⭐ Major Responsibilities

1. Executive & Administrative Support

 

  • Manage the GM’s calendar, appointments, logistics, and complex travel arrangements.
  • Maintain organized filing systems, confidential documents, and departmental records.
  • Draft, edit, and proofread professional emails, letters, and reports.
  • Handle internal communications on behalf of the GM and follow up on key activities and deadlines.
  • Screen and prioritize incoming requests and act as a gatekeeper for the GM’s office.

 

2. Meeting & Event Coordination

 

  • Organize, prepare, and distribute agendas, briefing notes, and background materials.
  • Make all logistical arrangements for meetings, workshops, and events.
  • Attend meetings to take minutes, document action plans, and ensure timely follow-up.
  • Coordinate GM participation in external meetings, industry events, and engagements.

 

3. Research, Data Analysis & Reporting

 

  • Conduct research on market trends, opportunities, competitors, and industry developments—especially in transportation and logistics.
  • Prepare analytical reports, presentations, dashboards, and decision-support materials.
  • Summarize internal and external documents, studies, and announcements for the GM’s quick review.
  • Support Board-level and management reporting when needed.

 

4. Project Management & Operational Coordination

 

  • Coordinate and follow up on cross-departmental projects led by the GM across Operations, Commercial, Finance, HR, and other functions.
  • Track project progress, timelines, risks, KPIs, budgets, and deliverables.
  • Develop and maintain project trackers, dashboards, and follow-up systems.
  • Facilitate alignment between subsidiaries, departments, and external partners.
  • Support operational initiatives related to transportation, fleet management, freight forwarding, route planning, and service improvement.
  • Ensure all project documentation is completed, updated, and properly archived.
  • Assist the GM in preparing business cases, feasibility studies, and cost-benefit analyses.

Personal & Behavioral Competencies High maturity, judgment, and discretion in handling sensitive information.Strong interpersonal skills and ability to communicate with staff at all levels.Ability to anticipate needs, act proactively, and work independently.Flexibility to adapt to last-minute changes, urgent requests, and dynamic schedules.Strong organizational, time management, and follow-up skills.Ability to work under pressure while maintaining accuracy and attention to detail.Presentable, professional, and positive demeanor. Technical & Functional CompetenciesLogistics & Transportation Knowledge (Required)Mandatory prior experience in logistics, transportation, freight operations, supply chain, or a related field.Strong interest in transportation management, fleet operations, or freight forwarding.Ability to understand operational workflows, industry documents, KPIs, and regulations.Project Management SkillsProven experience coordinating and managing projects in a fast-paced environment.Ability to build project plans, follow up on milestones, and escalate risks.Familiarity with project management tools. Strong analytical skills to translate data into insights for decision-making.Communication & Office Tool ProficiencyExcellent English and Arabic (written and spoken).Advanced MS Excel skills (pivot tables, functions, charts).Strong PowerPoint presentation skills.Fast typing and excellent proof-reading accuracy.Experience with social media or AI tools is an advantage. Education & Experience Bachelor’s degree in logistics, business administration, economics, mass communication, or related fields.MBA is a strong advantage.8–10 years of relevant experience supporting senior management.Experience in business development, marketing, or finance is a plus. Candidates are preferably below 40 years old, due to the fast-paced, mobility-intensive nature of the role and the succession planning needs of the subsidiary.
