Import Sea Freight Operation

  • Shipment Coordination: Manage and oversee all aspects of import sea freight shipments, from booking to delivery. This includes:
    • Processing and verifying shipping documentation (e.g., Bills of Lading, invoices, packing lists, customs declarations).
    • Liaising with overseas agents, shipping lines, and other service providers to arrange bookings, monitor transit, and resolve any issues.
    • Tracking shipments and providing regular updates to internal and external stakeholders.
    • Coordinating with trucking companies or other transportation providers for inland transportation.
  • Customs Compliance: Ensure all import activities comply with relevant customs regulations and procedures in Egypt and origin countries. This includes:
    • Preparing and submitting necessary documentation for customs clearance.
    • Working with customs brokers to facilitate the clearance process.
    • Staying updated on changes in import regulations and communicating these changes to the relevant teams.
    • Addressing and resolving any customs-related issues or delays.
  • Documentation and Record Keeping: Maintain accurate and organized records of all import shipments, including documentation, communication, and any related costs.
    • Ensuring all documents are complete, accurate, and filed appropriately.
    • Utilizing company systems and software to manage shipment information.
  • Communication and Stakeholder Management: Serve as the primary point of contact for import-related inquiries from internal departments (e.g., procurement, logistics, finance), customers, and external partners.
    • Building and maintaining strong relationships with vendors, carriers, and other stakeholders.
    • Communicating effectively and professionally both verbally and in writing.
    • Providing excellent customer service by addressing inquiries and resolving issues promptly.
  • Problem Solving and Issue Resolution: Proactively identify and address any potential issues or delays in the import process.
    • Developing and implementing solutions to ensure timely delivery of goods.
    • Escalating complex issues to the appropriate personnel.
  • Cost Management: Monitor and control costs associated with import shipments.
    • Verifying invoices from service providers.
    • Identifying opportunities for cost savings and process improvements.
  • Reporting and Analysis: Prepare regular reports on import activities, including shipment status, costs, and any challenges encountered.
    • Analyzing data to identify trends and areas for improvement in import operations.
  • Continuous Improvement: Participate in identifying and implementing process improvements to enhance efficiency and effectiveness of import operations.
    • Staying informed about industry best practices.

Minimum of  3-6 years of experience in import sea operations or freight forwarding. Strong understanding of international shipping terms (e.g., Incoterms), documentation requirements, and customs regulations in Egypt.Experience working with shipping lines, freight forwarders, and customs brokers.Proficiency in Microsoft Office Suite (Word, Excel, Outlook).Familiarity with freight forwarding software and systems is an advantage.Excellent communication skills, both verbal and written in English and Arabic.Strong organizational and time-management skills with the ability to prioritize tasks and meet deadlines.Detail-oriented with a high level of accuracy.   Problem-solving and analytical skills.Ability to work independently and as part of a team.Customer-focused attitude.Preferred Qualifications:Knowledge of specific industry regulations relevant to the company's products.Experience with specific ERP or TMS systems.Certification in international trade or customs compliance.
