Job Overview
We are seeking a detail-oriented Project Biller to join our finance team. You will support the Assistant Controller in preparing and managing project invoices, ensuring compliance with contracts, tracking financial data, and maintaining accurate records. This role is critical for sustaining cash flow and supporting seamless financial operations.
Key Responsibilities
1. Invoice Preparation & Submission
Prepare and process invoices based on contract terms, project schedules, and cost structures.
Validate project costs, time entries, and expense reports for accuracy.
Collaborate with project managers to confirm work completion and obtain approvals.
Ensure invoices comply with client contracts, funding agreements, and company policies.
2. Billing & Financial Coordination
Track billable expenses and reimbursable costs.
Maintain detailed records of invoicing status and follow up on overdue payments.
Reconcile project financials to align revenue recognition with accounting standards.
Assist in streamlining billing processes to improve efficiency.
3. Internal Communication
Address internal and external billing inquiries promptly and professionally.
Collaborate with accounting/finance teams to ensure accurate reporting and policy compliance.
4. Process Improvement & Compliance
Identify opportunities to enhance billing workflows and accuracy.
Ensure adherence to financial regulations, industry standards, and contract requirements.
Support audits by providing documentation and explanations.
Qualifications & SkillsEducation & ExperienceBachelor’s degree in Accounting, Finance, Business Administration, or related field (preferred).2+ years of experience in project billing, invoicing, or accounting (engineering, construction, or professional services industries preferred).Experience with QuickBooks and Deltek is a plus.Technical SkillsStrong understanding of billing procedures, revenue recognition, and project accounting.Fluency in EnglishProficiency in Microsoft Excel and financial reporting tools.Soft SkillsExceptional attention to detail and accuracy.Strong problem-solving skills and ability to work independently.Excellent communication and interpersonal skills.Ability to prioritize tasks and meet deadlines in a fast-paced environment.Compensation & BenefitsCompetitive salary (based on experience).Comprehensive benefits package (details provided during the hiring process).
