Job Summary:
The Procurement Specialist is responsible for managing the procurement process of raw materials, components, equipment, and services required for the manufacturing operations. This role ensures that the company acquires goods and services at the best possible prices while maintaining quality, delivery schedules, and compliance with regulations. The Procurement Specialist works closely with internal departments, suppliers, and vendors to optimize the supply chain and contribute to the company’s overall production efficiency.
Key Responsibilities:
Procurement and Sourcing:
- Identify Procurement Needs: Collaborate with production and inventory teams to determine procurement requirements for raw materials, parts, tools, and services.
- Supplier Management: Research, evaluate, and establish relationships with suppliers and vendors to ensure a reliable and cost-effective supply chain. Negotiate contracts, pricing, and terms of agreement.
- Supplier Selection: Source and recommend new suppliers for the procurement of goods and services, ensuring compliance with quality standards and operational needs.
- Order Management: Issue purchase orders (POs), track order status, and coordinate delivery schedules to meet production timelines in KSA, UAE, etc.
Cost Management and Optimization:
- Cost Analysis: Monitor and analyze procurement costs and look for opportunities to reduce spending through strategic sourcing, volume discounts, or alternative suppliers.
- Price Negotiation: Lead negotiations for favorable pricing, terms, and delivery conditions with suppliers and vendors.
- Inventory Management: Work closely with the inventory team to maintain optimal stock levels and avoid production delays while minimizing excess inventory.
Quality and Compliance:
- Quality Assurance: Ensure that purchased materials and components meet the required quality standards for manufacturing processes. Collaborate with the quality control team to resolve any quality issues.
- Compliance and Standards: Ensure that all procurement activities comply with company policies, industry regulations, and safety standards, including sustainability and ethical sourcing practices.
- Contract Management: Draft, review, and manage procurement contracts, ensuring compliance with terms and conditions.
Supply Chain Coordination:
- Logistics and Shipping Coordination: Liaise with logistics and transportation teams to ensure timely delivery of materials and minimize shipping costs.
- Inventory Forecasting: Assist in developing accurate forecasts of raw material needs based on production schedules and demand forecasts.
- Supply Chain Issues Resolution: Address and resolve any disruptions in the supply chain, including delays, shortages, or quality issues, to minimize impact on production.
Reporting and Analysis:
- Procurement Reporting: Prepare and present regular reports on procurement activities, expenditures, supplier performance, and inventory levels to management.
- Data Analysis: Analyze procurement data to identify trends, opportunities for cost savings, and areas for process improvement.
- Continuous Improvement: Recommend and implement process improvements to optimize procurement and sourcing activities.
Qualifications:Education and Experience:Bachelor’s degree in Business, Supply Chain Management, or a related field.3+ years of experience in procurement or supply chain management, ideally within a manufacturing environment.Proven experience with procurement systems, vendor management, contract negotiation, and cost management.Skills and Competencies:Negotiation Skills: Strong ability to negotiate pricing, terms, and conditions with suppliers and vendors.Analytical Skills: Proficiency in analyzing data, identifying cost-saving opportunities, and improving procurement processes.Communication Skills: Excellent written and verbal communication skills to interact with vendors, suppliers, and internal teams.Attention to Detail: Strong focus on accuracy in purchase orders, inventory tracking, and supplier contracts.Problem Solving: Ability to address and resolve issues that may arise in the procurement process or supply chain.Technology Proficiency: Experience with procurement software (e.g., SAP) and Microsoft Office Suite (Excel, Word, PowerPoint).Personal Attributes:Strong organizational skills and ability to prioritize tasks.Ability to work independently and as part of a team in a fast-paced environment.Ability to manage multiple projects simultaneously while meeting deadlines.Customer-focused with a strong commitment to delivering high-quality results.
