Calendar Management:
- Maintain and manage the office schedules, including appointments and meetings.
- Proactively prioritize and reschedule commitments as needed.
Meeting Coordination:
- Organize and prepare agendas, documents, and presentations for meetings.
- Attend meetings to take minutes and follow up on action items.
Communication Management:
- Act as the first point of contact for the main office, screening and prioritizing communications, including emails, phone calls, and correspondence.
- Draft, proofread, and edit official documents and communications.
Project Support:
- Assist with strategic projects, tracking deadlines, deliverables, and reporting progress to the CEO.
- Conduct research and provide insights to aid decision-making.
Confidentiality and Discretion:
- Handle sensitive information with the highest level of confidentiality and professionalism.
- Maintain trust and credibility as a key representative of the executive office.
Administrative Support:
- Manage expense reports, invoices, and budgets related to the administrative activities.
- Liaise with internal and external supplies.
Relationship Management:
- Build and maintain relationships with staff members and leadership teams.
- Ensure smooth communication and alignment across departments.
