Calendar Management:

  • Maintain and manage the office schedules, including appointments and meetings.
  • Proactively prioritize and reschedule commitments as needed.

Meeting Coordination:

  • Organize and prepare agendas, documents, and presentations for meetings.
  • Attend meetings to take minutes and follow up on action items.

Communication Management:

  • Act as the first point of contact for the main office, screening and prioritizing communications, including emails, phone calls, and correspondence.
  • Draft, proofread, and edit official documents and communications.

Project Support:

  • Assist with strategic projects, tracking deadlines, deliverables, and reporting progress to the CEO.
  • Conduct research and provide insights to aid decision-making.

Confidentiality and Discretion:

  • Handle sensitive information with the highest level of confidentiality and professionalism.
  • Maintain trust and credibility as a key representative of the executive office.
Administrative Support:

  • Manage expense reports, invoices, and budgets related to the administrative activities.
  •  Liaise with internal and external supplies.

Relationship Management:

  • Build and maintain relationships with staff members and leadership teams.
  • Ensure smooth communication and alignment across departments.
