Senior Specialist, ALA-USAID Egyptian Pioneers Program, Grant Position

Reports to: Dean of ALA

Purpose: The holder of this position is responsible for the program budget, involving preparing and overseeing spending throughout each cycle. The position is also responsible for administrative and secretarial work related to the Intensive Academic English Program while under development and after launch. The position is to assist the coordinator in fulfilling program requirements


Responsibilities:

● Maintain program communication required with the department of English Language Instruction (ELI) chair and Academy of Liberal Arts (ALA) dean as needed

● Assist program coordinator with any outreach needed with other The American University in Cairo (AUC) departments or offices as curriculum development needs are identified

● Assist program coordinator in complying with major program development milestone dates

● Maintain program budget, including annual budget drafting and supervision of spending related to both program development and ongoing program operations after launch

● Enter data and justification on Matrix, such as increase requests and new initiatives that fit parameters of program funding

● Identify staffing needs as program development evolves and support in staff recruitment process alongside coordinator, AUC HR, and other stakeholders as necessary

● Act as a liaison following up on attendance, overtime and leaves, and administering performance appraisal process for instructors

● Develop and maintain a back-up system to ensure efficiency when an instructor is absent

● Advise and register students into courses

● Participate in registering courses for students and working on solving students’ problems during the registration period and responding to their queries throughout the semester

● Prepare and maintain class lists, follow up on any changes, and record all changes in enrollment sheets

● Register and follow up with students when they are in breach of any administrative program rules not directly related to academic concerns handled by instructors

● Plan course schedules for the following year

● Responsible for test security and the administration of the assessment

● Post final results, record and maintain test scores and final grades

● Assist the coordinator in following up on student achievement and performance in subsequent courses where applicable

● Assist the coordinator in all logistics for the hiring faculty

● Maintain continual contact and effective, responsive communication with the coordinator, ELI and ALA leadership and staff, and other staff on campus as needed

● Handle any problems in cases when difficulties or complaints about staff, classrooms, or offices arise

● Update staff handbook every year

● Maintain departmental records as needed

● Be cognizant of the monitoring, documentation, and validation requirements of activities related to the English language and Bridge program for undergraduate scholars

● Ensure accurate and timely data on scholars’ performance and achievements are communicated to the activity MEL team

● Perform any other additional duties as assigned


Requirements:

Minimum Education Requirements:

● University degree


Experience:

● A minimum of five to seven years of previous experience including two years in relevant fields


Skills:

● Excellent communication and teamwork skills with diverse employees

● Excellent time management and organizational skills

● Excellent command of English, spoken and written

● Excellent computer skills, including English and Arabic typing

● Experience with financial matters

● Strong initiative and ability to take responsibility for assigned tasks

● Ability to work under pressure and gracefully handle unexpected situations


Working Conditions:

● Flexible working hours

● Work as assigned on any AUC or grant program location
