Role Overview:
As a Coordinator at Startup Factory, you will be an essential part of our team, playing a key role in ensuring the smooth operation of our incubator. You will manage various administrative tasks, coordinate events and workshops, assist with community engagement, and support both the internal team and startups in our program. The ideal candidate will be a self-starter, able to multitask effectively and thrive in a fast-paced, entrepreneurial environment. This role also involves providing significant support for overall project management, ensuring deadlines are met, and program goals are achieved.
Key Responsibilities:
Operational Coordination:
- Event and Workshop Management: Plan and coordinate events, workshops, and seminars hosted by Startup Factory, ensuring seamless logistics, aligning speakers, participants, and resources.
- Calendar and Scheduling: Assist in scheduling meetings, workshops, and events for both the Startup Factory team and the startups, ensuring all meeting rooms and resources are prepared in advance.
- Administrative Support: Provide administrative assistance to the leadership team and startups, including email management, communication coordination, and calendar organization.
- Resource Management: Organize and manage office resources, ensuring meeting spaces, equipment, and supplies are well-stocked and readily available.
- Data and Record Keeping: Maintain accurate records of event attendance, vendor contracts, startup applications, and other necessary documentation.
Community Support:
- Startup Assistance: Offer daily operational support to startups in the incubator, addressing their needs, answering queries, and facilitating smooth daily operations.
- Client Onboarding: Assist in onboarding new startups into the program, ensuring they have all necessary resources, documentation, and information to get started.
- Member Engagement: Foster a positive, collaborative atmosphere within Startup Factory by connecting startups with mentors, resources, networking opportunities, and peers within the community.
Communication and Coordination:
- Internal Communication: Act as a liaison between different internal teams at Startup Factory, helping to coordinate tasks, meetings, and cross-functional projects.
- External Liaison: Serve as the main point of contact for external partners, sponsors, and vendors, ensuring effective communication and smooth collaboration.
- Documentation and Reporting: Assist in preparing reports, presentations, and communications related to events, incubator activities, and community initiatives.
Additional Responsibilities:
- Program Application Process: Assist in filtering applications and selecting new startups to join the program.
- Mentorship and Progress Tracking: Facilitate and monitor meetings between mentors and teams, reporting on the progress of the mentorship process.
- Feedback Collection & Program Improvement: Collect feedback from startups on their experience at Startup Factory and suggestions for improvements. Assist in evaluating mentors and coaches based on feedback.
- Program Reporting: Help prepare program reports or proposals, ensuring proper documentation of all activities and progress.
- Matchmaking Process: Assist in the matchmaking process between startups and potential investors/business partners.
- Program Coordination Across Governorates: Support program implementation in other governorates as needed.
- Travel: Be flexible to travel frequently outside of Cairo to support the program's execution.
Experience: 1-3 years of experience in a coordination, administrative, or project management role, preferably in a startup, incubator, or entrepreneurial environment.Organizational Skills: Exceptional organizational skills with the ability to manage multiple tasks simultaneously and prioritize effectively.Communication Skills: Strong written and verbal communication skills, with the ability to engage with a variety of stakeholders, including entrepreneurs, investors, mentors, and internal team members.Problem-Solving Ability: Proactive in troubleshooting issues and finding solutions quickly in a fast-paced, startup-driven environment.Tech-Savvy: Comfortable using office tools like Microsoft Office and Google Suite, as well as event management platforms (e.g., Eventbrite). Familiarity with CRM tools (e.g., HubSpot) and project management tools (e.g., Asana, Trello) is a plus.Attention to Detail: A high level of attention to detail, ensuring all administrative tasks and events are executed flawlessly and on time.Adaptability: Ability to work in a fast-paced, constantly evolving startup environment, balancing multiple priorities and tasks.
