Job Purpose:
To establish and maintain an efficient organizational structure by defining roles and responsibilities, levels of authorization, escalation paths, and communication protocols. This role is key in aligning company policies with best practices to support internal and external communication, attendance, decision-making, and compliance.
Key Responsibilities:
1. Organizational Structure Development:
- Design and update the organization chart, ensuring clarity in reporting lines and functional responsibilities.
- Define and maintain a detailed Roles and Responsibilities Assignment (RRA) matrix.
2. Authorization Levels and Escalation Paths:
- Develop and implement levels of authorization across various functions.
- Create and maintain escalation paths to ensure swift resolution of issues and clarity in accountability.
3. Attendance Policies and Code of Conduct:
- Establish, document, and update attendance and code of conduct policies to align with company culture and legal requirements.
- Collaborate with HR to integrate policies within employee handbooks and training materials.
4. Communication Pathways:
- Design internal and external communication protocols to support smooth, efficient information flow.
- Create clear communication paths on the organizational charts, ensuring accessible and direct communication channels.
5. Decision-Making Frameworks:
- Develop decision-making matrices for various levels within the organization to aid in transparent and effective decision-making.
- Ensure matrices align with organizational goals and provide support for cross-functional decision-making.
6. Documentation and Compliance:
- Maintain accurate and accessible records of policies, protocols, and organization charts.
- Conduct regular audits and reviews to ensure adherence to policies and update as needed.
Qualifications:Education: Bachelor’s degree in Business Administration, Quality Management, or a related field; certification in Quality or Compliance Management is a plus.Experience: Minimum of 3 years of experience in a quality or compliance role, with a strong emphasis on organizational development and process documentation.Skills:- Strong analytical and documentation skills.- Excellent communication and interpersonal abilities.- Proficiency in developing organizational charts, communication matrices, and policy documents.- Familiarity with ISO standards (ISO 9001, 14001, 45001) is highly desirable.Competencies:- Strategic thinking and organizational design- High attention to detail and problem-solving skills- Ability to collaborate with cross-functional teams for policy implementation- Proactive approach to process improvement and quality assurance
