- Managing the daily work of the office
- Daily follow-up of e-mail received from the company’s website - clients – assistants
- View all emails daily and follow up on responding to customers
- Drafting letters addressed from the company to customers
- Managing and organizing office work
- Coordination with the CEO’s assistants in all daily work
- Receiving invoices - contracts - orders - from the company’s departments and presenting them to the CEO and then presenting them
- Supervising the development of new office or administrative systems upon renewal
- Periodic supervision of the security and safety services in the office
- Searching for opportunities and methods that help in continuous development and growth and that raise the office’s performance
- Organizing appointments for both the CEO and the Chairman of the Board of Directors
- Follow up on the movement of drivers and delegates, which is done through the Assistant Director of the Office
- Carrying out the duties directed by the CEO and Chairman of the Board of Directors
- Preparing meeting topics, attending them, writing their minutes, and following up on the implementation of everything contained within them with those assigned to them
- Preparing reports on any topics assigned by the CEO or Chairman of the Board of Directors
- Follow up on the implementation of the company’s internal regulations
Proven experience as an Office Manager, Front Office Manager or Administrative AssistantKnowledge of Office Administrator responsibilities, systems and proceduresProficiency in MS Office (MS Excel and MS Outlook, in particular)Hands on experience with office machines (e.g. fax machines and printers)Familiarity with email scheduling tools, like Email Scheduler and BoomerangExcellent time management skills and ability to multi-task and prioritize workAttention to detail and problem solving skillsExcellent written and verbal communication skillsStrong organizational and planning skills in a fast-paced environmentA creative mind with an ability to suggest improvementsHigh School degree; additional qualification as an Administrative assistant or Secretary will be a plus
